Assistant Office Manager – Orthopedic & Sports Medicine Device Clinic

Position Summary

We are seeking a full-time Assistant Office Manager to join our fast-paced and collaborative team. In this role, you will support day-to-day clinic operations by coordinating patient care, processing referrals and provider orders, communicating with patients and healthcare partners, and ensuring accurate documentation for insurance and billing compliance.

You will work closely with the Office Manager to maintain efficient workflows, support a high standard of patient service, and help ensure a smooth experience for both patients and referring providers. This position may also include assisting with measuring and fitting patients for prescribed orthopedic braces and supports.

Key Responsibilities

  • Serve as the primary office receptionist, managing a multi-line phone system while delivering exceptional customer service through professional phone and text communication.
  • Assist in managing and processing new DME orders via phone, email, fax, web portals, and walk-ins.
  • Serve as the secondary point of contact for patients, providers, and partner clinics.
  • Handle all referrals with accuracy, efficiency, and exceptional communication.
  • Oversee required documentation for billing and insurance compliance.
  • Ensure all medical documentation for coverage is obtained promptly.
  • Educate patients on insurance benefits, financial responsibility, and product use.
  • Verify insurance coverage and maintain up-to-date knowledge of payer regulations.
  • Collaborate with the Office Manager to streamline workflows and improve efficiency.
  • Support day-to-day office operations to ensure an excellent patient experience.
  • Occasionally assist as a DME Fitter/Clinical Product Consultant by measuring and fitting patients for braces and supports as prescribed.
  • Maintain a professional and organized workspace, upholding all HIPAA and compliance standards.

Compensation & Benefits

Pay: $37,000–$40,000 per year (DOE)

Applicants with relevant industry experience, knowledge of anatomy and physiology, familiarity with commercial health insurance, and experience working with physicians, clinics, or hospital systems may qualify for the higher end of the posted pay range. Compensation will ultimately be determined based on a combination of the applicant’s education, experience, knowledge, skills, and overall qualifications.
