About the Role
Outdoor Living is seeking a proactive, detail-oriented Operations Assistant to manage the backbone of our furniture business. This role is designed to be the "right hand" of the store manager, who can own the logistics of our orders and pricing, allowing our leadership to focus on growth and team support. You will be responsible for tracking the journey of every product—from the moment a custom order is placed until it is ready for our warehouse.
The ideal candidate is someone who is proactive—you don’t wait for updates to come to you; you go out and get them.
Core Responsibilities
- Order Management: Submit and track custom orders through the Furniture Wizard system. Monitor PO acknowledgments and maintain open order tracking sheets with accurate ETAs.
- Logistics & Freight: Arrange and track shipping, compare freight rates, and scout outsourcing options to ensure efficiency. Monitor annual guaranteed freight rates.
- Proactive Problem Solving: Flag shipping delays or payment issues immediately. Follow up on delayed orders and communicate delayed orders to the sales team to ensure transparency.
- Pricing & Data Integrity: Maintain the shared pricing drive with current price books. Update estimated costs on POs before warehouse receipt and manage price tag updates during tariff or manufacturer increases.
- Administrative Support: Screen incoming emails for urgent items and handle miscellaneous paperwork.
- Inventory Support: Track inventory levels for the Cactus business and flag low-stock items for reordering.
- Team Collaboration: Assist on the showroom floor during busy periods or private sales events. Assist with cycle counting and warehouse organization as needed.
Schedule & Hours
- Weekly Commitment: Approximately 28 hours per week.
- Preferred Schedule: Monday, Tuesday, Thursday, Friday (9:00 AM – 4:00 PM).
- Flexibility: Wednesdays are generally off, though availability for special events or unique circumstances may be required.

- Versatility: You are willing to "get your hands dirty" and help wherever needed, from high-level data entry to organizing fabric samples or the warehouse.
- Communication: You provide clear, early warnings to the sales team regarding price changes or delays to prevent customer "sticker shock."
Training & Growth
We provide on the job training of our internal systems. While this starts as a part-time role, there is a potential path to full-time status for the right candidate as business needs evolve.
Requirements
- Strong proficiency in data entry and tracking systems (experience with Furniture Wizard or similar POS/Inventory software is a plus).
- Ability to compare freight/shipping costs
- High level of reliability and professional discretion.
