Assistant Operations Manager is responsible for managing the day-to-day operations of a single coworking and serviced office location. This role ensures smooth facility operations, excellent member experience, staff supervision, and adherence to operational standards. The Assistant works
independently on-site while coordinating closely with the Operations Manager for overall alignment, performance tracking, and escalations.
Key Accountability Activities:
Location Operations & Service Delivery

Manage daily operations of the assigned coworking location to ensure seamless functioning. Supervise front desk activities, member onboarding, and daily customer support.

Ensure all services (cleaning, maintenance, internet, pantry, meeting rooms) run smoothly.

Implement and maintain SOPs to guarantee consistent service quality.

Address and resolve member issues at the location; escalate to Operations Manager when necessary.
Team Supervision & Development

Supervise Community Associates, Receptionists, and Facilities Assistants at the assigned site.

Schedule shifts, monitor attendance, and ensure adequate staffing coverage.

Support hiring, onboarding, and ongoing training of location staff.

Conduct routine performance observations and provide feedback.

Create a positive and service-oriented environment at the location.
Facilities & Resource Management

Oversee facility maintenance, cleanliness, safety, and basic security for the location.

Conduct daily walk-throughs to ensure workspace readiness and quality standards.

Ensure IT systems, internet connectivity, booking platforms, and office equipment remain functional.

Coordinate with vendors, suppliers, and contractors for timely service delivery.

Monitor meeting room and workspace utilization to maximize efficiency.
Compliance, Risk & Safety

Ensure the location complies with company policies, regulations, and HSE standards.

Conduct regular safety checks, emergency exit inspections, and preparedness drills.

Maintain up-to-date records for compliance and facility certifications.
Collaboration & Member Engagement

Serve as the key point of contact for members regarding operational and service needs.

Coordinate with Sales & Marketing for events, client tours, and space preparations.

Support community-building activities and ensure a positive member environment.
Qualifications/Requirements

Bachelor’s degree in Business Administration, Operations, Hospitality, or a related field.

5+ years of experience in operations, hospitality, coworking spaces, or facility management.

Experience supervising teams or running branch/onsite operations is strongly preferred.

Strong leadership and people-management skills.

Excellent communication and customer service capabilities.

Ability to independently manage operations for one full location.
