Assistant Planner

We are currently seeking a highly organized, creative, and dependable Assistant Wedding Planner & Administrative Coordinator to support our growing team.

Job Description

Do you love organization, creative projects, and the excitement of the wedding industry? We are looking for a proactive assistant to help support both the planning and administrative side of our business. This role is ideal for someone who enjoys multitasking, communicating with clients and vendors, creating polished materials, and helping events come together behind the scenes.

This position includes a mix of remote administrative work and occasional on-site event support.

Key Responsibilities

  • Assist with wedding planning tasks, timelines, and event logistics
  • Manage and organize client information, documents, and planning materials using Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
  • Create and edit presentations, mood boards, social media graphics, and event materials using Canva
  • Communicate professionally with clients, vendors, and team members via email and phone
  • Help prepare wedding day materials including timelines, seating charts, signage, and checklists
  • Support social media and marketing initiatives as needed
  • Assist with event setup and coordination on select wedding days
  • Maintain organization of digital files and planning systems
  • Provide general administrative support to the planning team

Requirements

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
  • Experience using Canva for basic graphic design and presentations
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Professional, positive, and team-oriented attitude
  • Availability for approximately 20 hours per week
  • Weekend availability for select weddings and events preferred
  • Previous experience in events, hospitality, administration, or customer service is a plus
