Job Summary:

This position reports to the Procurement Manager of DAV National Headquarters. Plan, manage, and coordinate the activities of staff and related workers involved in purchasing, shipping and receiving materials, products, and services. Work closely with suppliers, customers, upper management, and internal departments when supervising day-to-day activities for the Procurement and Shipping & Receiving teams.

Essential Functions:
  • Contributes to the bottom line of the organization by utilizing sourcing and negotiation skills to procure goods, materials, and services on favorable terms
  • Serve as a backup for the full range of procurement business processes and approvals typically overseen by the manager
  • Serve as primary procurement contact for all inventory purchases and/or routine mailings
  • Source suppliers, establish relationships, and interview vendors to determine availability, lead times, and terms
  • Serve as a contact to both vendor and department heads during projects until appropriate to transition to direct reports
  • Supervise and coordinate personnel engaged in buying, selling, shipping, receiving, distributing materials, equipment, machinery, and supplies
  • Assist Manager with oversight of inventory, mailings, and fulfillment program lifecycles from the initial request, delivery and through final payment
  • Supervise staff and outsourced functions associated with direct mail including product selection, inventory commitment, postage analysis, deadlines, marketing, and customer service with department heads
  • Supervise staff and outsourced functions associated with the DAV Store including maximum liability, ecommerce, customer service, and reporting for management
  • Supervise staff and vendor functions associated with the shipping and receiving processes to offer excellent customer service, efficient processes, and cost savings
  • Manage physical inventory and/or cycle count procedures for procurement, shipping and receiving
  • Ensure all department transactions are ethically and legally conducted while maintaining records of goods ordered and received
  • Participate in the development of specifications for inventory, equipment, products, or substitute materials
  • Manage vendor or contractor grievances, discrepancies, and claims. Escalate to leadership as required
  • Work closely with accounting and shipping/receiving to troubleshoot issues
  • Manage staff surrounding customer complaints or answer customers' questions regarding policies and procedures
  • Manage the work of office, administrative, or customer service employees to ensure adherence to quality standards, deadlines, and proper procedures correcting errors or problems
  • Manage the implementation with staff of corporate or departmental policies, procedures, and service standards in conjunction with management
  • Ensure all department employees are properly trained in the performance of their duties to include knowledge and understanding of the ERP system
  • Perform supervisory functions related to timekeeping system, evaluations, personnel matters, and operational effectiveness of direct reports
  • Assure staff complies with DAV policies and procedures
  • Perform other duties as assigned by management

Essential Skills and Experience:
  • A Bachelor’s Degree or a minimum of three years practical experience in purchasing and inventory
  • Excellent organizational and interpersonal skills
  • Excellent oral and written communications skills and mathematical skills
  • Possess strong management and administrative skills
  • Proficient with Microsoft Office applications, and ERP software
  • Credentials as Certified Purchasing Professional (CPP) by the American Purchasing Society is preferred

Degree of Supervision:
  • Position is responsible for a 3- 6 person team

  • Physical Demands: Job requires sitting up to four hours a day and standing six to eight hours a day. Body movement primarily in hand and arm functions associated with normal office activities. Hand and eye coordination and hand dexterity is required for handwriting and keyboarding over prolonged periods of time. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. This position requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing, and pulling.
