Assistant Project Manager

Ideal candidates are proactive, highly organized, and possess strong communication skills to facilitate smooth project workflows from initiation to completion.

Duties

  • Assist project managers in developing project plans, timelines, and budgets to ensure timely delivery of objectives
  • Coordinate meetings, prepare agendas, and document minutes to keep team members aligned on project progress
  • Manage project documentation, including reports, proposals, and correspondence with stakeholders
  • Support resource allocation by tracking team assignments and ensuring availability of necessary materials and equipment
  • Monitor project milestones and deliverables, escalating issues promptly to maintain momentum
  • Handle administrative tasks such as data entry, filing, and maintaining project records with accuracy and attention to detail
  • Communicate effectively with clients, vendors, and internal teams via phone, email, and in-person interactions to facilitate collaboration

Skills

  • Strong organizational skills with the ability to prioritize multiple tasks efficiently
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for documentation and communication
  • Excellent written and verbal communication skills; bilingual abilities are a plus for diverse client interactions
  • Experience with office management systems such as QuickBooks or similar accounting software is advantageous
  • Knowledge of multi-line phone systems and front desk operations to manage inquiries professionally
  • Demonstrated clerical experience including data entry, proofreading, filing, and calendar management
  • Familiarity with office equipment operation including multi-line phones and general office technology
  • Exceptional time management skills with the ability to meet deadlines consistently
  • Customer service orientation with strong phone etiquette and support skills
  • Previous experience in project management and administrative roles such as medical or dental receptionist or personal assistant is beneficial

Pay: $40,000.00 - $65,000.00 per year
