Assistant Project Manager

Position Summary

The Assistant Project Manager (APM) supports the Project Manager and Senior Project Manager in the day-to-day administration and coordination of commercial masonry projects. This role is a structured entry point into project management at FCC — ideal for an individual with a construction background who is building the technical, administrative, and interpersonal skills needed to independently manage projects. The APM takes direct ownership of submittals, material tracking, job closeout documentation, and coordination tasks, while developing proficiency in budgeting, billing, scheduling, and client communication under PM supervision.

Essential Functions

Submittal & RFI Management

  • Prepare, track, and submit submittals, shop drawings, and product data to general contractors; maintain complete logs and follow up on outstanding items
  • Draft and issue RFIs under PM direction; track responses and distribute to field teams
  • Maintain organized submittal and RFI logs; flag overdue items to the Project Manager

Material Tracking & Procurement Support

  • Track material orders, delivery schedules, and quantities against project budgets; report variances to the Project Manager
  • Coordinate with the warehouse and field teams to confirm delivery timing and staging requirements
  • Verify incoming material deliveries against purchase orders and report discrepancies
  • Support the Project Manager in obtaining material pricing and preparing purchase orders

Schedule & Coordination Support

  • Assist in developing and maintaining project schedules; update schedules based on PM and Superintendent input
  • Coordinate daily logistics between field teams, GC representatives, and subcontractors as directed
  • Participate in project coordination and OAC meetings; take and distribute meeting minutes
  • Support the Superintendent in tracking manpower plans and daily production against schedule

Documentation & Administrative Support

  • Maintain complete and organized project files including contracts, correspondence, submittals, and change order logs
  • Review daily Raken reports from field staff for completeness; flag missing or inaccurate entries to the Project Manager
  • Support job closeout by compiling asbuilt documentation, O&M manuals, warranties, and final lien waiver packages
  • Assist with monthly reporting by compiling project data and formatting reports for PM review

Billing & Financial Support

  • Support the Project Manager in preparing monthly pay applications; compile backup documentation and verify quantities
  • Track subcontractor and material invoices against purchase orders; flag discrepancies to the PM and Finance team
  • Assist with change order documentation including quantity verification, pricing backup, and GC submission coordination
  • Monitor billing and payment status in Textura or equivalent platforms; report outstanding items to the PM

Safety & Quality

  • Conduct site visits to observe and document field conditions, safety compliance, and quality of work
  • Assist the Project Manager in tracking open punch list items and coordinating resolution with field teams
  • Participate in safety training and maintain current OSHA certifications

Marginal Functions

Marginal functions are secondary job duties that can be reassigned or modified without altering the core nature of the position.

  • Participate in special committees or crossfunctional process improvement initiatives as requested.
  • Perform other related professional duties as assigned by management.

Required Qualifications

Experience & Skills

  • Minimum 13 years of experience in construction project coordination, estimating, or field operations
  • Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or related field preferred
  • Internship or coop experience in commercial construction a plus; field labor or trade experience highly valued

Technical Competencies

  • Basic ability to read and interpret construction drawings and specifications
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); comfort learning new software quickly
  • Familiarity with project management software (Procore, Raken, or equivalent) a plus
  • Basic understanding of construction scheduling and cost tracking concepts

Certifications & Licenses

  • OSHA 10hour Construction Safety certification required (or must complete within 30 days of hire)
  • OSHA 30hour certification preferred or expected within first year
  • Valid driver’s license with clean driving record
  • Must be legally authorized to work in the United States
  • Ability to pass background checks and drug screening

Preferred Qualifications

  • Bilingual (English/Spanish)
  • Prior experience in masonry, concrete, or related specialty construction
  • Familiarity with federal or municipal project requirements in the DC metro market
  • Experience with Textura, Procore, or similar construction management platforms

Physical Requirements

  • Ability to access all areas of active construction sites, including multistory buildings under construction
  • Capability to climb ladders, scaffolding, and navigate uneven terrain safely
  • Capability to wear required personal protective equipment for extended periods
  • Visual acuity to identify safety hazards and read safety documentation

Physical Demands & Work Environment

  • Physical Demands: This position is largely sedentary and operates in a professional office setting. It routinely requires extended periods of sitting, talking, hearing, and precise data entry. The employee must frequently utilize hands and fingers to operate computers, calculators, and standard office machinery. The employee must occasionally lift and/or move office tracking files or documents weighing up to 15 pounds. Specific vision required includes close visual acuity to review spreadsheets, contracts, and project drawings.
  • Work Environment: This role operates in a climatecontrolled, professional indoor office environment with a moderate noise level. Occasional remote work flexibility may be permitted in alignment with corporate policy, but operations remain centered within the primary office workspace.
