Position Overview:

We are looking for a dedicated and detail-oriented Assistant for Project Purchase (Back Office) to support our procurement and project teams. The role involves coordinating purchase activities, preparing documentation, follow-ups with vendors, and ensuring timely availability of project-related materials. The ideal candidate should have strong analytical, communication, and Excel skills with the ability to manage end-to-end purchase support functions efficiently.

Key Responsibilities1. Purchase Coordination & Documentation

  • Prepare purchase orders, quotations, comparison sheets, and vendor evaluation documents.
  • Assist in drafting RFQs (Request for Quotation) and coordinate with vendors for pricing, product specifications, and delivery terms.
  • Maintain complete documentation for purchase transactions and project requirements.
  • Update procurement records in Excel/ERP on a regular basis.

2. Vendor Management

  • Communicate with existing vendors for rates, lead times, and material availability.
  • Support in identifying new vendors based on project needs.
  • Follow up with suppliers on order status, dispatch schedules, and material delivery updates.
  • Coordinate to resolve discrepancies in quantity, invoice, or quality.

3. Project Support

  • Assist in preparing project material requirement sheets and BOQs.
  • Coordinate with project managers, site engineers, and operations team for material planning and scheduling.
  • Track material movement from purchase to delivery at site and update related stakeholders.
  • Prepare daily/weekly MIS reports for purchase and project progress.

4. Back Office & Reporting

  • Maintain vendor databases, rate contracts, and purchase logs.
  • Track pending POs, approval status, and budget utilization.
  • Prepare cost comparison reports, price trend analysis, and material consumption summaries.
  • Support internal audit and compliance requirements by maintaining proper records.

Candidate RequirementsEducation

  • Graduate in any discipline (B.Com/BBA/B.Sc preferred).
  • Additional certification in Supply Chain/Purchase Management is a plus.

Experience

  • 0–3 years experience in purchase, procurement, or project coordination.
  • Experience in industrial, manufacturing, construction, or project-based purchasing preferred.

Technical Skills

  • Strong proficiency in MS Excel (VLOOKUP, Pivot Table, MIS reporting).

Soft Skills

  • Excellent communication and follow-up skills.
  • Strong sense of ownership, accuracy, and time-management.
  • Ability to work under pressure and meet project deadlines.
  • Good coordination with internal and external stakeholders.

Salary Range

  • Range -13000 -20000 .
