Assistant Property Manager

Summary of the Position

As Assistant Property Manager, you play a vital part in ensuring the seamless operation and success of our property management portfolio. You’ll handle a balance of administrative support, tenant / owner relations, and maintenance coordination—keeping our properties compliant, efficient, and well-maintained. Your attention to detail and proactive communication will help uphold the Archer Wilkinson standard of excellence for both owners and tenants.

Administrative & Compliance

  • Provide administrative support through managing calls, mail, and digital filing to ensure smooth daily operations.
  • Process and organize financial documents, including scanning, uploading, and maintaining accurate records in AppFolio and Google Drive.
  • Assist in property marketing efforts, creating and managing listings across platforms such as LoopNet, Crexi, Craigslist, and MLS.
  • Support the tenant application process by handling marketing, applicant screening, income verification, and space showings.
  • Maintain compliant and organized tenant and owner files in alignment with company policies and industry regulations.

Property Management

Maintenance & Vendor Management

  • Support property operations by coordinating move-outs, rekeying, and maintenance scheduling to ensure timely and accurate completion.
  • Assist with prioritizing and tracking work orders, preventive maintenance, and vendor performance, as needed.
  • Maintain key control and site security, ensuring accurate records for all units and common areas.
  • Assist in monitoring property conditions regularly, inspecting common areas, grounds, and parking for cleanliness and safety compliance.
  • Uphold property standards by assisting in mapping utility shutoffs, escape routes, and ensuring all sites meet organizational expectations.

Owner and Tenant Relations

  • Support the onboarding of new owners and tenants, providing instruction for proper use of the online portal, maintenance requests, property rules etc.
  • Assist in lease administration by enforcing lease terms, addendums, extensions, property rules, posting tenant notices, and rent collection.
  • Coordinate tenant turnovers to meet Archer Wilkinson standards, ensuring timely completion within budgetary goals and property guidelines.
  • Assist property manager with the move out process to ensure the process is completed accurately and timely
  • Effectively streamlining tenant communications, scheduling, property inspections, ongoing & one-off maintenance needs, and working with property Owners to keep their property looking its best for a positive Tenant experience.
  • Identifying and implementing opportunities for an improved Owner and Tenant Experience

Financial Reporting

  • Collaborate with accounting and management teams to process security deposit refunds, urgent or delinquent bills, and maintain accurate property financials.
  • Contribute to property reporting and budgeting, preparing required weekly and monthly reports to support informed decision-making.
  • Assist with managing and collecting property and tenant insurance policies

Requirements:

  • 90% in-office role with local travel outside of the office required approximately 10% of the time
  • Proficient in Google Suite - Google Drive, Docs, Sheets, etc.
  • Experience with Appfolio or other property management CRM is a plus
  • Strong verbal and written communication skills
  • Delivers exceptional customer service with a high level of professionalism
  • Thrives in a team environment and contributes to a high-performing work culture
  • Ability to manage multiple priorities and meet deadlines with minimal oversight
  • Proven ability and experience maintaining confidentiality with proprietary company information and personal client information.
  • Valid CA driver’s license, proof of auto insurance and access to a reliable vehicle.
  • Light lifting (up to 20 pounds), walking, bending and squatting for short periods
  • Successful applicants must undergo a background investigation which includes a criminal check, credit report, reference checks, etc.

Compensation & Benefits:

  • Starting Compensation Range: Hourly – final salary or hourly rate will be determined based on experience and skills - $20 - $26 per hour
