We are seeking a professional, organized, and customer-focused Assistant Property Manager to support the daily operations of a residential/commercial property. The Assistant Property Manager will assist with tenant relations, leasing support, rent collection, maintenance coordination, administrative duties, and overall property operations to help ensure the property is well-managed, compliant, and operating efficiently.
The ideal candidate should have strong communication skills, attention to detail, the ability to multitask, and a commitment to providing excellent service to residents, tenants, vendors, and ownership.
Key Responsibilities
- Assist the Property Manager with daily property operations and administrative tasks.
- Serve as a point of contact for residents, tenants, vendors, applicants, and visitors.
- Respond to tenant inquiries, concerns, and service requests in a timely and professional manner.
- Assist with leasing activities, including showing units, processing applications, preparing lease documents, and coordinating move-ins and move-outs.
- Support rent collection efforts, payment tracking, notices, and account follow-up.
- Maintain accurate resident files, lease records, inspection documents, and property reports.
- Coordinate maintenance requests with maintenance staff, contractors, and vendors.
- Assist with property inspections to ensure cleanliness, safety, and compliance standards are maintained.
- Help enforce lease terms, community rules, and property policies.
- Support marketing efforts to maintain occupancy goals.
- Prepare reports, correspondence, notices, and other property-related documentation.
- Assist with vendor coordination, invoice processing, and supply ordering as needed.
- Maintain a professional and welcoming office environment.
- Perform other duties as assigned by management.
Qualifications
- Previous property management, leasing, administrative, or customer service experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to handle confidential information with professionalism.
- Basic computer skills, including Microsoft Office, email, and property management software.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and attention to detail.
- Professional appearance and positive attitude.
- Knowledge of Fair Housing regulations is preferred but not required.
- High school diploma or equivalent required; additional training or certifications are a plus.
Preferred Skills
- Experience with residential or commercial property operations.
- Familiarity with rent collection, lease administration, and tenant relations.
- Ability to de-escalate situations and resolve resident concerns professionally.
- Experience coordinating maintenance work orders and vendor services.
- Bilingual abilities are a plus but not required.
Work Schedule
