Assistant Property Manager

The Assistant Property Manager will collaborate openly with the Property Manager and the Senior Property Management team to ensure the smooth operations of residential properties under our management. The Property Management Assistant possesses excellent communication skills, and a commitment to delivering outstanding customer service to residents and team members.

Responsibilities

Administrative Support

  • Assist with remote correspondence, data entry, and filing tasks as needed/onboarding.
  • Maintain and organize electronic filing systems, ensuring easy access to important documents and records.
  • Prepare and distribute reports, presentations, and other documents as required.
  • Monitor items such as rent increases, lease violations, and delinquencies.
  • Conduct recertification notifications such as, but not limited to: CMHA Remittance, CMHA HAP changes, Recertification packets for residents, DevCo, Pest Control, handling Lease violations and assistance with Leasing
  • Assist in managing daily property operations, including lease administration, rent collection, and tenant communications
  • Support lease or rental agreement management, ensuring all documentation complies with legal and company standards
  • Coordinate property maintenance requests and oversee facilities management to ensure properties are well-maintained and safe
  • Utilize property management tools such as Yardi and OneSite to update records, process payments, and generate reports
  • Handle client communication with professionalism, addressing inquiries promptly via phone, email, or in person
  • Support budgeting processes by tracking expenses and assisting with financial reporting related to property operations
  • Ensure adherence to Fair Housing regulations, Landlord-Tenant law, LIHTC (Low-Income Housing Tax Credit), and Section 8 program guidelines
  • Manage conflict resolution between tenants or staff with effective conflict management skills
  • Maintain accurate data entry, filing systems, and records related to leasing activities, contracts, and legal documentation
  • Collaborate with team members to upsell amenities or additional services that enhance resident satisfaction

Software Oversight

  • Monitor software for efficiencies, data correctness, and execution of workflows and tasks.
  • Assist with software platform navigation and oversight, including but not limited to: AppFolio, DevCo, Office Suite

Communication Liaison

  • Screen and prioritize incoming communications, directing inquiries to the appropriate
  • staff members.
  • Monitors the PMColumbus@sawmillroadmgt.com shared email box.*
  • Serve as a communication liaison as necessary between property management,
  • residents, and other outside vendors

Special Reporting

  • Create all special reporting required monthly, including but not limited to customized rent rolls, board meeting documentation, and all other data as requested by stakeholders and team members.
  • Assist in managing daily property operations, including lease administration, rent collection, and tenant communications
  • Support lease or rental agreement management, ensuring all documentation complies with legal and company standards

Requirements

  • Proven experience with property management software such as Yardi or AppFolio is highly preferred
  • Strong knowledge of landlord-tenant law, Fair Housing regulations, and Section 8 housing programs
  • Previous experience in real estate administrative roles or property management companies is advantageous
  • Excellent customer service skills with professional phone etiquette and client relationship management abilities
  • Familiarity with lease or rental agreement management, contracts, and legal administrative procedures
  • Ability to handle conflict resolution effectively while maintaining a positive attitude
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and communication purposes
  • Experience with property maintenance coordination and facilities management practices
  • Strong organizational skills including filing systems, data entry accuracy, and record keeping
  • Demonstrated ability to work well within a team environment while managing multiple priorities confidently

Pay: $42,000.00 - $46,000.00 per year
