About the Role
The Assistant Property Manager is a critical team member at FLATS, supporting the day-to-day operations and resident experience across multiple residential properties in Chicago.
This position requires an incredibly experienced, proactive, and dependable candidate who can seamlessly manage operations, assist residents, and collaborate with the broader property management team to uphold the FLATS standard of excellence.
Key Responsibilities
Operational Support:

Assist in managing the day-to-day operations at two residential communities.

Act as the lead site representative in the absence of the Property Manager.

Oversee rent collection activities and enforce lease compliance.

Assist in managing collections and evictions for the properties when needed.

Assist with preparing reports for ownership by collecting, analyzing, and summarizing property data.

Coordinate apartment turns with the maintenance team, ensuring units are prepared for new move-ins.

Perform daily physical inspections of the property and coordinate closely with the maintenance team.

Enforce occupancy policies and procedures, ensuring compliance with community standards and regulations.

Take responsibility for administrative duties, including all required reporting.
Resident Relations:

Serve as a main point of contact for residents, addressing questions, service requests, concerns, and lease-related matters with responsiveness and care.

Communicate with residents regarding property maintenance and repairs, ensuring transparency and prompt follow-up.

Exercise independent judgment and discretion to handle and resolve resident requests or concerns.

Support the move-in and move-out process, making transitions as smooth and welcoming as possible.

Assist with lease renewals and promote resident satisfaction to encourage long-term retention.

Investigate and/or report any incidents involving residents, employees, vendors, or others at the property.
Leasing Support:

Conduct property tours as needed, showcasing available apartments and the FLATS lifestyle to prospective residents.

Maintain accurate resident, prospect, and leasing information within Yardi and internal CRM systems.
Compliance and Administration:

Ensure adherence to FLATS’ policies, operational procedures, and all applicable housing regulations.

Maintain organized and accurate documentation and assist with reporting and compliance audits as needed.
Requirements
Education:

High school diploma or equivalent required
-
College coursework or a degree is preferred but not required
Experience:
-
Minimum of 3 years of experience as an Assistant Property Manager or in a similar residential property management role (required).

Proven ability to independently manage a residential community and step in for Property Manager responsibilities when needed.

Experience managing operations across multiple sites or communities is strongly preferred.
Skills & Attributes:

Proficiency with Yardi property management software (required).

An active Illinois Leasing Agent, Broker, or Managing Broker License is required. If not currently licensed, candidates must be willing to obtain an Illinois Residential Leasing Agent License within 120 days of hire.

Funnel experience is a plus but not required.

Strong operational knowledge of multifamily property management practices.

Excellent leadership, problem-solving, and multitasking abilities.

Exceptional customer service and communication skills, both verbal and written.

Highly organized, detail-oriented, and able to prioritize tasks effectively in a fast-paced environment.

Tech-savvy and comfortable working with CRM, leasing systems, and other digital tools.

Familiarity with Chicago housing laws and property management standards is a plus.
