POSITION: ASSISTANT PURCHASE & STORES EXECUTIVE

ROLE PURPOSE
The Assistant Purchase & Stores Executive will support the Purchase & Stores Senior Executive in managing engineering material procurement, inventory control, ERP entries, and supplier coordination. The role ensures smooth internal operations, timely material availability, and adherence to company systems and ISO/5S procedures.
KEY RESPONSIBILITIES
1. Purchase Responsibilities
- Procure engineering raw materials, spares, and consumables related to electric motors, generators, pumps, and rotating equipment
- Handle RFQ generation, price comparison, negotiations, and vendor follow-ups
- Coordinate with suppliers, traders, and vendors from similar engineering industries
- Prepare, release, and track Purchase Orders (POs)
- Ensure timely material delivery as per production and service requirements
- Support cost control and supplier performance improvement initiatives
2. Stores & Inventory Responsibilities
- Verify inward materials against purchase orders and delivery challans
- Ensure proper storage, labeling, identification, and FIFO practices
- Issue materials to production, service, and maintenance teams as per requirement
- Handle direct supply materials meant for customer jobs
- Monitor stock levels and maintain minimum / reorder level controls
- Assist in periodic stock verification and reconciliation
3. System, ERP & Documentation
- Perform ERP entries related to purchase, inward, issue, and stock movement
- Maintain purchase and stores records as per company standards and ISO/5S documentation
- Prepare basic reports related to stock, purchase status, and material consumption
- Ensure data accuracy and system discipline
4. Internal Coordination
- Coordinate with Production, Service, CRM, and Accounts teams
- Support smooth material flow across departments
- Escalate shortages, delays, or mismatches proactively
Mandatory Qualification
- DEEE / DME / EEE / BE Mechanical / Production Engineering
Mandatory Experience
- Minimum 3 years of experience in:
o Engineering Purchase & Stores
o Handling engineering materials and spares
o Working with suppliers or trader shops in similar industries
o Industrial or engineering service/manufacturing environment
Language Requirement
- Tamil: Fluent
- English: Working proficiency
- Hindi: Basic spoken ability preferred
Required Skills & Competencies
- Strong computer operation skills
- ERP handling and basic reporting knowledge
- Good communication and coordination abilities
- Negotiation skills with suppliers
- Ability to identify, understand, and observe engineering components
- System-oriented, disciplined, and process-driven approach
Reporting Structure
Reports to: Purchase & Stores Senior Executive (Lead)
