Assistant Purchasing Agent

SUMMARY: The Assistant Purchasing Agent supports the Procurement Team by processing purchase orders, receiving documents, and invoices. This role is also responsible for maintaining accurate purchasing records and performing a variety of administrative tasks to ensure the efficient operation of the purchasing function across the company.

RESPONSIBILITIES:

  • Process requisitions for the corporate office and capital projects, ensuring timely and accurate documentation.
  • Manage the dissemination of invoices received via Energy.AP email for all company locations.
  • Oversee new supplier setup for Seaboard Energy, including reviewing vendor information for completeness and accuracy prior to system entry.
  • Monitor invoicing and payment schedules to ensure timely processing and compliance with company standards.
  • Maintain and regularly update tracking spreadsheets for capital projects to support project management and financial oversight.
  • Maintain Prevailing Wage documentation.
  • Maintain organized and up-to-date electronic filing systems for all purchasing-related documents.
  • Assist the Procurement team with additional tasks and special projects as needed.

REQUIREMENTS:

  • High school diploma or GED required.
  • 2 - 3 years general office experience preferred.
  • Strong Customer Service skills in person and over the phone with both internal and external customers required.
  • Working knowledge of Microsoft Office, Excel, Word and PowerPoint required.
  • Ability to effectively present information and respond to questions from managers.
  • solve practical problems, collect data, establish facts and draw valid conclusions.

WORK ENVIRONMENT: Work environment varies from an office, Plant production and outside climate conditions, based on the situation. The noise level varies upon which area of production an employee is working in.

NORMAL WORK SCHEDULE: Monday through Friday, working hours to be determined. Occasionally extended hours or changes in schedule will be required as special circumstances arise.
