BASIC RESPONSIBILITIES:
The Assistant is expected to create an efficient office environment by providing organizational and administrative support to the Dean of the Carter School of Business and the Associate Deans. Although not all-encompassing, the following designates basic responsibilities and duties which the assistant should perform:
- The ability to organize, problem-solve, focus, and work well with others in a team-oriented environment that is consistently advancing toward DBU's goals and mission
- Strong working knowledge of basic computer applications, such as, but not limited to, Microsoft Word, Excel, Outlook, Colleague, etc., and a willingness to learn other computer applications as necessary
- Thorough understanding of and commitment to the educational values of a Christian liberal arts institution
- A driven individual always pursuing excellence in their work
- Team-player who is customer-service centric and happy to serve others
- Ability to keep files and information pertaining to the School of Business confidential
- Ability to manage multiple projects at the same time while prioritizing the tasks in order to meet deadlines
BASIC DUTIES:
- Manages the day-to-day operational and administrative activities of the Dean by setting and monitoring her schedule, organizing the incoming flow of work, prioritizing requests, maintaining a monitoring system, and following-up to ensure timely responses.
- Organizes meetings, including but not limited to, contacting participants, preparing documentation for distribution, and coordinating administrative and logistical arrangements. Following the meetings, drafts minutes and circulates to participants, as needed.
- Oversees and manages the budgets for the School of Business and related departments.
- Issues purchase requisitions for supplies and equipment, dialogues with the procurement management units on product alternatives and reviews requests for payments.
- Receives and greets all visitors in the School of Business.
- Manages and distributes the School of Business Faculty/Staff calendar.
- Responsible for planning and executing all School of Business events, celebrations, etc.
- Provides the Dean with background information and/or supporting documents in preparation for scheduled appointments, meetings, and speaking engagements; coordinates with designated individuals for speeches and logistics as appropriate.
- Assists with onboarding of new School of Business Faculty and Staff by communicating approval for hire and maintaining faculty files in the Dean's office.
- Ensures that all new employees workstations are prepared prior to their first day.
- Oversees textbook orders for every course under the School of Business.
- Drafts and sends communication to faculty, staff, and adjuncts about information critical to their roles.
- Manages communication and coordination of activities with the various boards in the School of Business.
- Other duties as assigned.
WORK SCHEDULE:
This is a full-time position with regular office hours between 8:00 a.m. – 5:00 p.m., Monday – Friday
