Overview
The Assistant to the Director is the Executive Director's most trusted partner, a sharp, discreet, and deeply organized professional who keeps the institution running smoothly behind the scenes. This is not a routine administrative role. It is a front-row seat to the full scope of museum leadership: board governance, donor relationships, strategic initiatives, and the vibrant cultural programming that makes LBMA a cornerstone of Long Beach's creative community.

Responsibilities
Executive & Administrative Support
◆ Manage the Executive Director's calendar, coordinate meetings, and arrange travel.
◆ Draft, proofread, and organize correspondence, reports, presentations, and institutional documents.
◆ Handle phone and email communications with prompt professionalism.
Communication & Relationship Management
◆ Serve as a primary liaison between the Director and internal and external stakeholders.
◆ Cultivate trusted relationships with board members, donors, artists, and community partners.
Project & Event Coordination
◆ Assist in planning and executing special projects and institutional initiatives.
◆ Support coordination of museum events, programs, and exhibitions.
◆ Monitor project timelines to keep deliverables on track.
Office & Board Operations
◆ Maintain effective filing systems, record-keeping protocols, and office supply procurement.
◆ Organize board meetings, prepare agendas, coordinate materials, and record minutes.
Research, Reporting & Development Support
◆ Compile research and reports to inform strategic decision-making.
◆ Assist the Director of Development with scheduling, phone coverage, and special projects.
Skills
◆ Bachelor's degree in Art, Art History, Business Administration, or a related field preferred.
◆ At least three years of administrative experience, ideally in a non-profit arts or cultural institution.
◆ Exceptional organizational skills and a sharp eye for detail.
◆ Outstanding written and verbal communication — you write with clarity and speak with confidence.
◆ Proficiency in Microsoft Office Suite; familiarity with project management tools is a plus.
◆ Experience with Adobe Photoshop and Illustrator preferred.
◆ Discretion and integrity when handling sensitive or confidential information.
◆ A genuine love for the arts and alignment with LBMA's mission.
Preferred
◆ Experience in bilingual environments or working with diverse communities.
◆ Familiarity with graphic design principles and institutional branding.
◆ Comfort with public speaking, facilitation, and event production.
◆ A strategic mindset and the creative instinct to solve problems on the fly.
Work Environment
This role blends focused office work with on-site presence at museum events and programs, including occasional evenings and weekends. You will work in a beautiful oceanfront setting alongside a passionate, mission-driven team.
