SUMMARY
This is a 20-hour-per-week part-time position that serves to aid the Guidance Director with day-to-day tasks and long-term projects (i.e., standardized testing, the Christian College Fair, scheduling meetings with students and parents, master scheduling).
ESSENTIAL FUNCTIONS

Schedules meetings with junior and eighth grade families. The job consists of talking to parents, coordinating the Guidance Department calendar, and preparing handouts for various meetings. (30%)

Assists with standardized testing for the Classic Learning Test, PSAT, SAT, and AP exams. May require coordinating materials and testing rooms, in addition to proctoring on the day of the exam. (10%)

Serves as both the NACCAP Christian College Fair and Military & Government Open House Coordinator. Planning for these events starts in August and ends in November after the fairs. This job consists of talking to college admission reps and officials, communicating with government agencies, sending promotional materials, coordinating catering orders, and setting up and running on the day of the fair. (30%)

Aiding in course requests, general student academic guidance, and planning the master schedule for the next school year. (10%)

Working directly with students as directed by the Guidance Director. (10%)

Supports the planning and execution of the May graduation ceremony by collecting senior photos, confirming and finalizing diploma lists, coordinating cap and gown orders and distribution, and organizing required senior details. The role also assists with rehearsal and day-of-event logistics, including setup, student lineup, and overall event coordination, to ensure a smooth, successful ceremony. (10%)
OTHER FUNCTIONS

This is a 10-month position aligned with the academic school year. The Assistant to the Director of Guidance will share overall tasks with the school registrar. The workload varies throughout the year, with peak periods occurring during scheduling, testing, guidance periods, and other key Guidance Department initiatives.

The Assistant to the Guidance Director serves as the primary point of contact and “gatekeeper” for the department, managing the flow of communication, coordinating the department calendar, and ensuring efficient daily operations. This role requires strong organizational skills, discretion, and the ability to prioritize multiple tasks in a fast-paced school environment.
