JOB PURPOSE
Independently manages multiple aspects of event production logistics and onsite execution for major U.S. events including Seminar, Leadership Conference, and Career Conference. Oversees entertainment vendor management, rehearsals, makeup and wardrobe processes, and various backstage and operational functions. Works closely with the Event Production Manager, Executive Producer, and other internal partners to ensure event elements are delivered on time, on budget, and aligned with the creative vision. Provides onsite coordination and serves as a central contact for production logistics and backstage operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manages entertainment company partnership and show logistics, including contract and budget management, onsite coordination, and office needs. Collaborate with the Executive Producer to align creative directions for entertainment numbers and ensures integration into overall event programming.
- Coordinates all rehearsal, makeup, and wardrobe schedules for emcees, escorts, and talent. Develops and communicates detailed timelines to all involved parties, adjusts for conflicts and last-minute changes, and serves as the onsite contact for makeup room and wardrobe needs, ensuring all participants are prepared and equipped for showtime.
- Oversee general session and backstage operations by managing event requirements for the room setup, prop lists, supply replenishment, and backstage logistics. Partners with production and technical teams to ensure readiness for rehearsals and live sessions and provides onsite backstage management assistance to support smooth execution.
- Collaborates on stage design and seating logistics, contributing to floor plan discussions and ensuring functionality and flow for all recognition elements. Works closely with the seating team to manage assigned seating and make real-time adjustments for ADA and special requests.
- Manages staging and recognition parade maps for general sessions and recognition segments. Designs parade paths for achievers and positioning for emcees and escorts, documents in ShoFlo, and communicates updates to all production and recognition partners.
- Oversees the escort process for Seminar and Leadership events, assigning MK staff members, briefing them on show flow, and managing backstage timing and coordination during recognition moments.
- Manages inventory and prop materials for General Session through the Southwest warehouse, maintaining accurate tracking of items, shipments, and returns post-event.
- Serves as the main point person for Career Conference, managing timelines, vendor and partner coordination, and event-specific needs from pre-production through onsite execution.
- This job requires on-site work at a Mary Kay facility.
KNOWLEDGE, SKILLS AND ABILITIES
Education – Bachelor’s degree in Business Administration or Event Production.
Experience – 3 - 5 years of experience in an event production-related field, with experience in the Direct Selling Industry desired.
- Strong project management skills and the ability to successfully coordinate multiple projects under strict time frames are critical to this role.
- Must have excellent verbal communications skills to communicate with staff members, including executive level employees, as well as members of the independent sales force.
- An advanced working knowledge of a Windows environment, in particular, Microsoft Windows, Outlook and Excel, is required. Having a good working knowledge of Adobe Photoshop is a plus.
- Must be self-motivated and results oriented to effectively complete tasks with minimal supervision.
- Must have the ability to work effectively under pressure executing with a high level of accuracy, in a deadline-oriented environment while receiving direction from multiple individuals.
- Domestic overnight travel required approximately 5% of work time.
