Job Description:The Associate Director of Institutional Advancement Communications works in partnership with the Director of Alumni Relations and the Immaculata Fund, and members of Institutional Advancement, to develop and execute multi-channel communication strategies that build lasting and meaningful relationships with alumni, parents, students, and friends while promoting the impact of philanthropy and highlighting giving opportunities to donors and prospects.
The Associate Director will serve as the lead communications specialist for the department, managing the departmental project schedule and communication mediums. This position is responsible for working as a collaborative team member in developing, executing, and overseeing communications strategies designed to generate engagement, nurture donors, and communicate the University's mission, vision, and achievements in support of efforts to achieve annual fundraising milestones.
The Associate Director manages alumni engagement communications, 20Below alumni segment, events, and works together with colleagues on the planning and implementation of regular and special events such as Reunion, affinity gatherings -specifically for 20Below, Awards Reception, the Golf Invitational, the Day of Giving and more. This position will seek to promote and enhance the reputation of the University; will have enthusiasm for philanthropic activities and the mission of Immaculata University, and the ability to represent the institution well.
Responsibilities and Duties:
- Creates and manages the work plan/production schedule between Institutional Advancement and University Communications. Manage the development and production of Institutional Advancement and Alumni communication vehicles such as the Honor Roll of Donors, At a Glance, Day of Giving communication, event invitations, On The Road collateral, Christmas cards, society brochures, informational postcards, sponsorship materials, promotional items and more. This includes the writing and/or editing of gathered content as necessary.

Facilitate the creation and dissemination of printed and digital assets for (50+) Institutional Advancement, On The Road, and Alumni events. This includes invitations, programs, signage, email reminders prior to event, post-event correspondence which includes a thank you message along with photos from that particular event, website event listings, etc. Collaborate with the Assistant Director of Special Events in the creation of corresponding event registration forms in Raiser's Edge.

As a member of the Institutional Advancement/Alumni team, partner with colleagues to develop and improve alumni and donor engagement with the intent to strengthen relationships and expand philanthropic support. Draft/contribute to the development of corresponding communication materials.

Serve as the primary liaison with University Communications to facilitate creation of outreach collateral, website updates, video production, photography needs, etc.

Responsible for production of the bi-monthly electronic newsletter, Highlights from the Hill; and the quarterly electronic newsletter, Plenty for Twenty.

Maintain the department's social media efforts, overseeing accounts in Facebook, Instagram, LinkedIn, and Twitter.

Create content and manage the maintenance of the Institutional Advancement/Alumni web pages.

Work in conjunction with the Institutional Advancement team and serve as the primary contact for the 20Below alumni program and the 20Below advisory council. Expand and execute offerings to this affinity group to engage the alumni of the last two decades. In addition, coordinate all communications and meetings related to the Senior Class Giving initiative.

Recruit alumni volunteers to facilitate participation in affinity groups such as 20Below

Assist in development of content and materials to support affinity alumni networks and programming

On occasion, serve as event photographer. Manage the alumni online photo account with Flickr.

Coordinate content for the Institutional Advancement / Alumni sections in Immaculata magazine.

Provide appropriate support for events as needed. This may include registration, table management, audiovisual support, room set-up, creation of event specific materials, etc.

Collaborate with colleagues to plan and implement the Immaculata University Charter Day of Giving and Online Auction. Manage the creation of the Day of Giving Auction site through acquisition of items, photography and descriptive write-ups, population of the ClickBid auction site, etc. Support all related Day of Giving activities as needed.

Perform other duties and assist with special projects as assigned.

Minimum Requirements:
- Bachelor's degree in communications, business, marketing, or related program.

A minimum of 5 years of progressively responsible experience in marketing, development, communications, or related environment.

Basic understanding of higher education advancement, annual giving, and alumni relations concepts and practices.

Self-motivated with the ability to take initiative and work independently.

Desire and flexibility to work as a member of a high-performing, highly collaborative team of development professionals.

Proven ability to work with other campus partners, who may have competing interests and priorities within the university.

Ability to conceptualize and develop new and innovative communications vehicles, activities, etc. to increase the likelihood of attaining departmental goals, and/or to build and maintain effective relations.

Excellent oral and written communication skills as well as interpersonal skills are required.

Ability to provide timely, excellent customer service to constituents.

Experience with project and program management, demonstrated organizational skills, and ability to manage several projects at once and meet deadlines.

Ability to perform work in Microsoft Office Suite; Adobe Creative Cloud (InDesign/Photoshop); Constant Contact; Flickr; ClickBid; standard social media platforms. Experience with Banner/Raisers Edge is a plus.

Requires some evening and weekend obligations, occasional travel.
