We are seeking a motivated and detail-oriented Associate Project Manager with experience and interest in event/experiential marketing and production to support the successful execution of fabrication projects. This role works closely with Project Managers and shop fabricators to help coordinate project timelines, communication, and on-site activities.
The ideal candidate is organized, proactive, and eager to grow into a full Project Manager role over time.
Key Responsibilities
Project Coordination & Support
- Assist in managing project timelines and tracking key milestones across fabrication projects.
- Support Project Managers in maintaining project momentum by coordinating material orders, tracking approvals, and following up on outstanding tasks.
- Help set up new projects in Google Drive, organize files, and maintain standardized documentation.
- Monitor project progress and flag potential delays or issues to team members.
Client & Team Communication
- Support communication between clients, internal teams, and vendors to ensure alignment across all phases of a project.
- Assist in relaying updates, changes, and project requirements clearly and in a timely manner.
- Help track change orders and ensure proper documentation of scope adjustments.
- Maintain responsiveness to emails and calls within 24 hours.
Project Administration & Tools
- Maintain and update project tracking tools including Google Sheets, calendars, and internal systems.
- Assist with invoicing, contracts, and documentation to ensure accurate and organized records.
- Support reporting efforts by helping compile weekly project updates and status reports.
- Familiarity with SketchUp, Rhino, or similar CAD software is a plus.
On-Site Support
- Assist hands-on with on-site installations and project execution, ensuring teams have clear direction and necessary resources.
- Help coordinate day-of logistics and support team efficiency during builds and installs.
- Step in to assist with hands-on tasks using basic tools when needed.
- Maintain awareness of project flow and communicate any issues to the Project Manager.
Estimating & Budget Support
- Assist in gathering information for project estimates, including labor, materials, and production considerations.
- Support budget tracking and help ensure project costs are documented accurately.
Technical & Production Awareness
- Develop a working knowledge of materials, finishes, and fabrication processes including carpentry, metalwork, CNC, and printing.
- Collaborate with shop teams to better understand build processes and constraints.
- Provide occasional hands-on support in the shop as needed.
Qualifications
- Bachelor’s degree in Project Management, Business, or a related field (preferred).
- 1–3 years of experience in project coordination, production, or a related field (event/experiential, fabrication, construction, or manufacturing preferred).
- Hands-on experience in carpentry, fabrication, or production environments is a strong plus.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Detail-oriented with a proactive, problem-solving mindset.
- Proficiency in Google Drive and general project tracking tools.
Requirements
- Positive attitude with the ability to adapt and problem-solve under tight deadlines.
- Valid driver’s license.
- Ability to stand, walk, or lift up to 50 pounds as needed.
- Willingness to work evenings, weekends, and outdoors when required for installations.
- Ability to travel overnight for multiple days at a time to assist with event setups/strikes.

- Fast-paced, collaborative environment with evolving project timelines.
- Occasional travel and multi-day installations may be required.
