Association Maintenance and Projects Coordinator

PMI Puget Sound is seeking an Association Maintenance and Projects Coordinator to join our growing team. This role is responsible for helping manage work orders, vendor coordination, property related issues, and association projects for our HOA and condominium clients.

This position is ideal for someone who is organized, responsive, detail oriented, and able to keep multiple moving parts on track. You should be comfortable communicating with homeowners, board members, vendors, and internal team members while helping move both day to day maintenance items and larger projects forward.

Responsibilities

  • Create, track, and follow up on work orders for HOA and condominium associations
  • Coordinate with vendors on scheduling, site visits, updates, proposals, and completion of work
  • Help manage association projects from the bid stage through completion
  • Communicate with homeowners, board members, and vendors regarding maintenance issues, project updates, scheduling, and next steps
  • Track bids, proposals, project timelines, and open items
  • Support inspections, site visits, and project follow through in the field as needed
  • Document activity, updates, and notes accurately in company systems
  • Help organize project related communication, documents, and vendor information
  • Monitor progress and identify issues that need follow up or escalation
  • Support the team in delivering responsive, professional service to the associations we manage

Qualifications

  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple tasks and deadlines at the same time
  • Strong problem solving skills and follow through
  • Comfortable working independently in a hybrid role
  • Experience in HOA management, property management, maintenance coordination, construction coordination, vendor management, or project coordination is preferred but not required
  • Knowledge of HOA governing documents is helpful but not required
  • Proficient with email, software systems, and task tracking tools
  • Valid Washington Driver’s License
  • Proof of valid auto insurance
  • Reliable transportation required

Pay: $26.00 - $32.00 per hour
