Association Services Coordinator

Association Services Coordinator Work Environment:

The Association Services Coordinator works primarily from home. There usually are three to four staff meetings in the office per month. The IAO's IT personnel has set up the position to function efficiently from remote. There is some travel required. The Association Services Coordinator travels with the IAO to the Annual Meeting. This is a week-long meeting held in exciting destinations. The Association Services Coordinator also travels to select orthodontic conferences to recruit new members. This position reports directly to the Executive Director. The Association Services Coordinator will have to communicate effectively with members and leaders of the organization alike.

Association Services Coordinator Responsibilities:

1. Report to the Executive Director.

2. Maintain CE records for all IAO Members.

3. Do light bookkeeping that includes maintaining accurate financial status in members profiles, making credit card and check deposits for membership dues, annual meeting registrations, IAO Professional Advancement application fees and other financial activities as assigned.

4. Assist members in CE recording process including entering courses online, reporting number of hours, printing and or emailing full list of CE hours to proper authority.

5. Assist members in Professional Advancement program including application process, setting up caseworx, and maintaining certification records.

6. Key advisor to Executive Director for annual projects and meetings.

7. Proof read written communication to membership and organization leaders alike.

8. Assist staffing of IAO promotional booths at select orthodontic meetings as required.

9. Send out IAO annual meeting Exhibit Booth prospectuses in a timely manner.

10. Manage the assignment of booths and deposits for the annual meeting’s exhibits in cooperation with the Executive Director.

11. Be responsible for the production and packaging of needed materials for the annual meeting (such as completed name badges, Board packets, tickets, etc.) and other IAO continuing education courses.

12. Maintain current committees, study clubs, IAO section representatives, IAO certified instructors, IAO Past-Presidents and other association listings.

13. Work with other IAO staff members in a team effort to accomplish needed tasks.

14. Assist as needed in the successful implementation of the IAO Annual Meeting and at the IAO Annual Meeting’s registration booth.

15. Do word processing tasks as assigned by the Executive Director.

16. Complete any other duties as assigned by the Executive Director.

Job Type: Full-time

Pay: $25,000.00 - $30,000.00 per year
