Summary: As part of a mission-centric, locally delivered, and nationally powered organization
this role is accountable for the planning and execution of Blood Cancer United cycle events.
The Cycle Event Experience team will bring the event to life, providing a mission forward, safe
and exciting rides for participants.
Key Relationships:Supervises: Vendors and Contractors for assigned event(s) (if applicable)
Leads: Event weekend Volunteers & Committees (if applicable)

External Relationships: Vendors, In Kind Partners, Sponsors, and Event Weekend Volunteers
Revenue Accountability: Expense Management/Savings
Strategic Accountability: Implement cycle event strategy
Sponsorship: Implementing activations during key event activities
Mission Integration
- Collaborate with the Education, Services, and Health Research teams to clearly communicate Blood Cancer United mission, programs, and priorities across all event-related volunteer and partner touchpoints.
- Maintain strong working knowledge of Blood Cancer United initiatives to effectively represent and integrate mission messaging into volunteer communications, event resources, and partnership outreach.
Event Production Oversite
- Collaborate with Event Experience and Revenue teams on overall event planning and execution.
- Serve as project lead for assigned events with a primary focus on volunteer management, event communications, and in-kind partnerships, while supporting overall event logistics as needed.
- Act as a central point of communication with the revenue development team to ensure volunteers, participants, and sponsors receive clear, timely, and mission-centered information leading to an exceptional event experience.
- Coordinate updates to important event communication resources including but not limited to event websites, participant emails, social media content, and both internal and external event weekend materials.
- Develop, monitor, and update event production timelines; communicate progress and identify roadblocks or resource needs to supervisors and stakeholders.
- Schedule and lead event production meetings—including pre-event, on-site, and post-event—with staff, volunteer leaders, vendors, and local partners as needed.
- Help manage the participant incentive program through tracking, ordering and collaboration with the revenue and procurement teams.
- Track and manage event expenses, ensuring adherence to approved budgets, with a focus on maximizing in-kind support to reduce costs. This includes active research, recruitment and cultivation of in-kind donations and community connections.
Key Relationship Management
- Build and maintain strong relationships with community partners such as volunteer groups, local organizations, and in-kind contributors.
- Lead volunteer groups where applicable, ensuring members are well-supported, informed, and prepared for day-of-event responsibilities. Facilitate committee meetings, sharing timely event updates and ensuring all logistical considerations are addressed.
- Help manage related event vendors, contractors, and consultants, ensuring alignment with production timelines, budgets, and in-kind partnership opportunities; oversee orders related to event communication and production including printing & incentive products.
- Cultivate and steward volunteers at all levels—recruiting, training, motivating, and providing ongoing communication and feedback opportunities to enhance safety, engagement, and overall event success.
- Collaborate with event team on management of the national Coach and training program including pre event communications, resources and coordinating the onsite coach event experience.
- Support sponsorship fulfillment and coordinate all pre-event and on-site deliveries.
- Collaboratively manage the distribution and activation of in-kind materials and services, ensuring partners receive appropriate recognition and visibility.
- Maintain positive and productive relationships with all relevant internal and external event partners.

Education & Experience Requirements:- Bachelor’s Degree
- 2-4 years of experience
- Prefer related experience in event planning, event communications and partnership cultivation.

Physical Demands & Work Environment:- Flexibility to work occasional evenings and weekends to support volunteer committees and events, especially during peak event season (spring and summer).

- May be required to move Campaign materials weighing up to 15 pounds for various events.
- Travel to designated events before and during event weekends.

We are excited to share the base pay range for this exempt position is $82K to $100K. The offered compensation may vary based on factors such as geographic location, business need, market conditions, proficiencies, skills, education, and experience. Additionally, at Blood Cancer United we place a high value on internal pay equity and will consider the current compensation of similarly situated roles and direct team members. Base compensation is only one component of our Total Rewards program, which also includes an annual incentive plan and a competitive benefits package.
