Marketing Automation Engineer (Make / Integromat + AI CRM Systems)

(Freelance / Project Basis – 6 to 8 Week Build + Monthly Maintenance)

About the Role

Dark Bird Films is building a next-gen AI Marketing OS to manage full-funnel real estate marketing campaigns across Meta Ads, Google Sheets CRM, WhatsApp, Email, and Voice AI.

We’re looking for an experienced Automation Engineer to design and deploy a complete end-to-end automation system that captures leads, nurtures them automatically, triggers communication across multiple channels, and reports insights into a central dashboard.

You’ll work closely with our internal creative and strategy team to bring the system to life and maintain it for 12 months.

Key Responsibilities

•* Design & Build Automations using Make (Integromat) across:*

•* Meta Lead Ads → Google Sheets CRM*

•* Website Form → Sheets*

•* WhatsApp messages (via WATI/Twilio API)*

•* Email drip sequences (MailerLite / Zoho Campaigns)*

•* AI voice calls (Vapi.ai + ElevenLabs integration)*

•* Slack alerts for lead updates*

•* Google Calendar for site visit bookings*

•* Weekly summaries + KPI reports*

•* Create conditional flows (Day 0, Day 1, Day 3, Day 5, Day 7) with logic for lead stages (New, Warm, Hot, Visit, Converted)*

•* Build error handling, logging, and backup flows*

•* Integrate campaign data with Looker Studio Dashboard*

•* Collaborate with Ads Manager to sync UTM data and CPL tracking*

•* Set up Slack command or AI Agent webhook for actions (pause/scale ads)*

•* Document all flows and create SOPs for internal handover*

•* 7-day AI nurture sequence (WhatsApp + Email + Voice)*

•* Slack alert + weekly report system*

•* Dashboard with live metrics (leads, CPL, spend, funnel)*

•* Documentation + training session for internal team*

Project Duration

•* Build Phase: 6–8 weeks (Oct–Nov 2025)*

•* Maintenance Phase: 1 year (1–2 hrs/week)*

Ideal Candidate

•* 2+ years experience in automation platforms (Make, Zapier, n8n)*

•* Proven experience building lead funnels for marketing/sales teams*

•* Familiarity with Meta Ads & CRM integrations*

•* Experience with WhatsApp API, email marketing, dashboarding*

•* Strong logical thinking & documentation skills*

•* Bonus: experience with AI tools (Vapi, GPT agents)*
