Join our dynamic automotive team as an Administrative Assistant to our sales team, where your enthusiasm and organizational skills will drive exceptional customer experiences and streamline our financial processes. This position will be responsible for smooth loan processing, accurate title work, and effective upselling of finance products. Your proactive approach will help customers navigate their financing options confidently while supporting our sales team to achieve their goals. Saturdays are a requirement!
Responsibilities
- Provide day-to-day administrative support to ensure organized operations and clean deal flow. Keep deals organized, compliant, and moving efficiently from sale to delivery and funding.
- Responsibilities include maintaining deal files and documentation, assisting with paperwork, coordinating with Sales and Service on sold units, supporting basic accounting and posting tasks, and helping keep the office organized and running smoothly during daily operations and busy periods.

Finance & Title Duties
- Assist with title and registration paperwork
- Resolve title discrepancies or missing information
- Track payoff checks and lien releases
- Support F&I with contract processing and document packaging

Sales Administration Duties
- Process all retail and wholesale deal paperwork from Sales to completion
- Verify deal jackets for completeness and compliance
- Ensure all required signatures, documents, and disclosures are present
- Prepare and submit lender funding packages
- Track funding status and follow up with lenders as needed
- Maintain deal logs and delivery tracking
- Coordinate with Sales Managers and F&I for missing documentation
Qualifications
- 1–3 years dealership admin, sales, title clerk highly recommended
- Strong attention to detail and organization
- Ability to manage multiple deals simultaneously
- Proficiency in Microsoft Office / Google Workspace
- Professional communication skills
Preferred:
- Familiarity with DMS systems (Dealertrack or CDK)
- Understanding of lender funding processes
- Bilingual (English/Spanish) – not required
