Job Summary
We are looking for a professional, energetic, and highly organized Receptionist to be the first point of contact for our busy automotive dealership. The ideal candidate will greet customers with a smile, manage a high-volume multi-line phone system, and provide exceptional customer service in person and on the phone. This role is vital for setting the tone for our customer experience, assisting with clerical duties, and supporting our sales and service departments.
Essential Duties and Responsibilities
- Greeting & Hospitality: Greet customers immediately upon entering the showroom in a warm, friendly, and professional manner.
- Phone Operations: Answer, screen, and forward incoming phone calls, taking detailed messages when necessary.
- Customer Directing: Determine the nature of the visit and direct customers to the appropriate department (Sales, Service, or Parts).
- Administrative Support: Perform clerical duties such as filing, scanning, photocopying, and faxing documents.
- Data Entry & CRM: Enter customer demographic information into the CRM system and maintain accurate records.
- Cashiering: Depending on dealership size, accept payments for service or parts, issue receipts, and manage the cash drawer.
- Showroom Maintenance: Ensure the reception area, lobby, and customer lounge are clean, tidy, and welcoming.
- Scheduling: Assist with scheduling service appointments or notifying salespeople of walk-in guests.
- Communication: Handle customer complaints with tact and urgency, directing them to the appropriate manager.
Qualifications & Skills
- Education: High school diploma or GED required.
- Experience: Previous receptionist or customer service experience (preferably in a fast-paced environment) is highly preferred.
- Interpersonal Skills: Exceptional verbal communication skills and a cheerful, "can-do" attitude.
- Multitasking: Ability to manage multiple priorities simultaneously (e.g., greeting customers while answering phones).
- Technology: Proficiency with computers and Microsoft Office (Word, Excel, Outlook). Experience with Dealer Management Systems (DMS) such as CDK Global or Reynolds & Reynolds is a plus.
- Professional Appearance: Maintain a professional and tidy appearance.
- Schedule Flexibility: Must be able to work some evenings and rotating Saturdays.
Physical Demands
- Must be able to sit or stand for extended periods.
- Occasionally required to walk, reach with arms and hands, and lift up to 10-25 pounds.
