Position Overview
We are seeking a highly organized, assertive, and results-driven Office Manager to oversee daily administrative and financial operations within our dealership. The ideal candidate is a strong leader who thrives in a structured environment, values accountability, and ensures processes are followed with precision and efficiency.
This role requires a detail-oriented professional who can manage multiple priorities, enforce compliance, and maintain operational excellence across accounting, payroll, title processing, and office administration.
Key Responsibilities
Operational Leadership
- Oversee all dealership office operations, ensuring accuracy, compliance, and timeliness.
- Establish, implement, and enforce office policies and procedures.
- Supervise and manage administrative staff, setting clear expectations and performance standards.
- Ensure adherence to dealership, manufacturer, and regulatory guidelines.
Financial & Accounting Oversight
- Manage accounts payable and receivable processes.
- Oversee daily cash reconciliation and bank deposits.
- Review and finalize month-end closing procedures.
- Ensure accurate deal posting and documentation.
- Coordinate with external CPA or accounting firm as needed.
- Maintain strict internal controls and audit compliance.
Compliance & Documentation
- Ensure proper handling of titles, registrations, and lender documentation.
- Maintain compliance with state and federal regulations.
- Oversee payroll processing and benefits administration.
- Maintain organized, audit-ready financial and personnel records.
Team Management
- Provide direct leadership to office personnel.
- Conduct performance evaluations and implement accountability measures.
- Train staff on dealership systems, processes, and compliance standards.
- Foster a culture of discipline, structure, and operational excellence.
Process Improvement
- Identify inefficiencies and implement structured solutions.
- Maintain workflow systems to ensure consistency and accuracy.
- Monitor key performance indicators related to office performance.
Qualifications
- 5+ years of office management experience (automotive dealership experience strongly preferred).
- Strong accounting and financial reporting background.
- Experience with dealership management systems (e.g., CDK, Reynolds & Reynolds).
- Proven leadership and supervisory experience.
- Excellent organizational and time management skills.
- High level of integrity and commitment to compliance.
- Strong decision-making ability and confidence in enforcing policies.
Pay: $60,000.00 - $70,000.00 per year
