Automotive Experience Preferred (Workshop / Dealership / Service Reception)

Royal Cars is growing and marketing is increasing enquiries. We need a dedicated Automotive Service Booking Coordinator to manage all incoming calls and WhatsApp enquiries on our company phone, book inspections/appointments, follow up leads, and keep accurate lead tracking for our marketing agency (Enum).

Location: Dubai Investment Park 2 (DIP 2)

Working hours: Monday to Saturday, 9:00am – 6:00pm (workshop-based)

This is not a mechanic role — it is a fast-response customer handling + booking + tracking role.

Please do not apply if:

  • You are not currently in Dubai / cannot work in DIP 2
  • You cannot work Mon–Sat 9am–6pm
  • You are not confident speaking and writing clear English
  • You are not comfortable using WhatsApp Business + Google Sheets daily

Key responsibilities (day-to-day)

  • Answer inbound calls and WhatsApp quickly and professionally on the company phone
  • Qualify enquiries using a simple checklist (service needed, car details, urgency, location, budget expectations)
  • Request photos/videos on WhatsApp when needed and share to workshop team
  • Provide basic price guidance/ranges (as per Royal Cars price rules) and book inspection/appointments
  • Follow up missed calls and open chats until closed (Booked / Won / Lost)
  • Update our Google Sheets lead tracker accurately for every lead (source, service, outcome, value estimate, lost reason)
  • Escalate technical questions to the manager/service advisor only when needed
  • Maintain WhatsApp Business labels (New / Quoted / Booked / In Progress / Won / Lost)

Targets / KPIs

  • Response time: calls answered fast + WhatsApp replies within minutes
  • Daily lead log completion: 100% of leads recorded
  • Booking rate improvement (more jobs booked from the same lead volume)
  • Follow-up discipline (no leads left “hanging”)

Requirements (Automotive strongly preferred)

Preferred backgrounds:

  • Workshop/service reception, dealership bookings, service advisor assistant
  • Car rental bookings, motor insurance claims, parts counter (also acceptable) also car trading websites (Dubizzle etc.)

You must have:

  • Experience in inbound customer service / bookings / sales support
  • Strong spoken and written English (Arabic a plus; Hindi/Urdu a plus)
  • Confident on phone, calm under pressure, polite but firm
  • Highly organised: can manage multiple chats without losing track
  • Comfortable using WhatsApp Business tools and Google Sheets

Salary & benefits

  • Basic salary: AED 5,000 – 7,000 per month (depending on experience)
  • Performance bonus: AED 500 – 2,000/month based on KPIs (bookings, tracking accuracy, response time, follow-ups)
  • Benefits: visa + medical insurance + annual leave as per UAE law, company phone/SIM, training, bonus/incentives
