Back office Sales Coordinator

About the role:

We are looking for an experienced Back Office Sales Coordinator in our Sales & Marketing Department to manage export operations, prepare sales contracts and invoices, and coordinate shipments. The role involves ensuring compliance with export documentation and collaborating with internal departments/Factory to ensure seamless delivery.


Key Responsibilities :


a) Export Sales Operations

  • Prepare export sales contracts and related cost sheets.
  • Create and manage sales and shipment orders as per guidelines.
  • Generate and check invoices to ensure accuracy and proper accounts.
  • Handle billing and customer complaints for export products.
  • Process sales commissions and manage duty-free/tolling materials.
  • Update advance payments and assist with payment negotiations.
  • Coordinate with QA for product certifications and shipment documents.
  • Maintain accurate data for materials, customers, and shipments.
  • Reserve shipment materials and address system issues promptly.


b) Coordination with Internal Departments

  • Ensure smooth execution of export shipments and follow up for necessary LC documents.
  • Maintain accurate GL accounts for export sales and local customers.
  • Provide financial data and reports for internal reporting requirements.
  • Coordinate material reservations and facilitate shipment release.


c) Region-Specific Responsibilities

  • Oversee shipments of our internal company from Karachi to Middle-East, including contracts, reservations, and invoicing.
  • Ensure smooth weekly shipments and proper document handling.
  • Approve FI documents after payment clearance.
  • Audit and settle monthly bills for appointed agents.


d) Reporting & Analysis

  • Share daily stock updates, production reports, and shipment plans.
  • Create monthly region-wise sales reports and weekly sales performance summaries.
  • Present quarterly marketing reviews for ISO compliance.
  • Prepare custom reports as requested by senior management.


Required Skills & Qualifications:

  • Education : Bachelor’s degree in Business Administration, Marketing, or a related field.
  • Experience : 3–5 years in export sales operations, preferably in manufacturing or chemical sectors.
  • Proficient in SAP (WCOCO/WB2R_SV), F-37, and export sales modules.
  • Strong understanding of export documentation, and financial reporting.
  • Excellent coordination and communication skills.
  • Strong analytical and problem-solving abilities.
  • Attention to detail and ability to meet deadlines under pressure.
