The Banquet Manager is responsible for planning, coordinating, and supervising all banquet and outside catering (ODC) operations to ensure high-quality service, customer satisfaction, and efficient execution of events. This role involves close coordination with clients, kitchen teams, service staff, and vendors to deliver seamless on-site and off-site event experiences.
Key Responsibilities1. Event Planning and Coordination
- Meet with clients to understand event requirements, budgets, and special requests.
- Prepare detailed banquet event orders (BEOs), floor plans, and staffing plans.
- Coordinate with the kitchen, sales, and housekeeping teams to ensure smooth event execution.
- Survey off-site event locations for ODC setups and logistics planning.
2. ODC (Outside Catering) Operations
- Manage all logistics for ODC events including transportation of food, equipment, and staff.
- Conduct site inspections to assess power supply, water access, layout, and safety requirements.
- Ensure proper loading, unloading, and setup of buffet stations, service counters, and décor.
- Monitor food safety, hygiene, and temperature control during transportation and service.
- Handle last-minute client requests, operational adjustments, and troubleshooting at off-site venues.
3. Staff Supervision and Training
- Schedule, train, and supervise banquet captains, service staff, and on-call event teams.
- Conduct pre-event briefings covering event details, service standards, and guest expectations.
- Ensure staff adherence to grooming standards, safety protocols, and hospitality guidelines.
4. Operational Management
- Ensure banquet halls and ODC setups are prepared according to client specifications.
- Oversee service flow during events, including food service, bar operations, and guest management.
- Manage inventories of linen, crockery, cutlery, service equipment, and ODC kits.
- Coordinate with vendors for rental items such as tents, lighting, sound, or décor (if required).
5. Financial and Administrative Duties
- Assist in preparing event budgets, cost estimates, and billing summaries.
- Monitor food and beverage costs and control wastage.
- Prepare post-event reports, feedback summaries, and improvement plans.
- Ensure timely documentation, billing, and coordination with the accounts team.
6. Guest Relations and Service Quality
- Maintain high levels of guest satisfaction by addressing requests promptly.
- Manage VIP events with personalized service.
- Handle complaints professionally and implement corrective actions.

Preferred Qualifications
- Bachelor’s degree or diploma in Hotel Management or Hospitality
- 3–5 years of experience in banquet operations or event management
- Experience handling ODC is highly desirable
