What You’ll Do – Key Responsibilities

  • Lead and mentor the dispatch/CSR team, setting the standard for excellence in customer service and scheduling
  • Efficiently dispatch technicians for service calls, installations, and emergencies while optimizing routes and minimizing downtime
  • Handle inbound customer calls with professionalism, empathy, and speed — turning every interaction into a positive experience
  • Accurately schedule appointments, manage the service board, and communicate job status clearly to customers and the team
  • Build strong relationships with customers, technicians, and vendors to ensure smooth operations and high satisfaction
  • Monitor technician availability, job progress, and parts needs to keep everything running like clockwork
  • Resolve customer concerns quickly and professionally, escalating when necessary while maintaining a calm, solutions-focused attitude
  • Maintain accurate records in the service software, update job notes, and generate reports as needed
  • Support the Service Manager with daily operations, reporting, and continuous improvement initiatives
  • Train and develop new dispatch/CSR team members to uphold our high standards

What We’re Looking For

  • Proven experience as a Dispatcher, CSR, or in a lead customer service role (HVAC/plumbing industry experience is a big plus)
  • Natural leader who can motivate and coach a team while staying organized under pressure
  • Exceptional communication skills — friendly, clear, professional, and empathetic on the phone and in writing
  • Strong multitasking and problem-solving abilities in a high-volume, fast-paced environment
  • Tech-savvy with proficiency in service management software, MS Office, Google Suite, and phone systems
  • High attention to detail and pride in accuracy
  • Positive, can-do attitude with a genuine desire to help people
  • Ability to remain calm and solutions-oriented during busy or stressful situations

Requirements

  • High School Diploma or GED required
  • Minimum 3 years of dispatching or high-volume customer service experience
  • Previous leadership or team lead experience preferred
  • Valid driver’s license and clean driving record
  • Available to work a flexible schedule, including some Saturdays and on-call rotation as needed

Physical & Work Environment

This is primarily an office-based role with prolonged periods of sitting, computer use, and phone work. You may occasionally assist with light warehouse or field tasks. Reasonable accommodations are available for individuals with disabilities.

Pay: $24.54 - $32.00 per hour
