Behavioral Health Administrative Assistant

Location: Fairfield/Blue Ash, Ohio
Department: Mindfully LLC

Reports To: Senior Vice President, Clinical

Position Overview:
Mindfully LLC is seeking a highly organized and proactive Behavioral Health Administrative Assistant to support our Senior Clinical and Organizational Leadership team. This role is crucial for overseeing a variety of administrative and project management tasks, including tracking projects, meeting deadlines, and communicating effectively with clients, clinicians, and graduate schools. While experience in behavioral healthcare is advantageous, it is not a prerequisite. The ideal candidate will be flexible, able to work independently, and adapt to changing priorities with ease.

Schedule: Monday through Friday, full-time. Daytime hours

Key Responsibilities:

  • Provide comprehensive administrative support to senior leadership, including calendar management, scheduling meetings, and coordinating events.
  • Manage multiple tasks and projects simultaneously to ensure timely completion.
  • Assist in the planning, execution, and tracking of various projects and programs.
  • Develop and maintain project schedules, monitor progress, and prepare regular status reports for senior leadership.
  • Serve as a liaison between the organization and external stakeholders, such as clients, clinicians, and graduate schools.
  • Facilitate effective communication and coordination across teams and departments.
  • Prepare and maintain detailed reports, presentations, and documentation.
  • Track and document project developments, issues, and resolutions.
  • Execute tasks with minimal supervision and demonstrate strong problem-solving abilities.
  • Manage time effectively and handle tasks independently.
  • Provide cross-coverage for reception and other administrative roles as needed.
  • Exhibit flexibility and adaptability as priorities and tasks shift rapidly.
  • Organize and manage files, records, and correspondence.
  • Assist with other administrative tasks as required, maintaining confidentiality.

Qualifications:

  • Education: High school diploma required; associate or bachelor’s degree in business administration, Healthcare Administration, or a related field preferred.
  • Experience: Previous experience as an administrative assistant or in a similar role preferred; healthcare experience is a plus but not mandatory.
  • Skills:
    • Exceptional organizational and time-management abilities.
    • Strong communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
    • Ability to handle sensitive information with confidentiality.
    • Capacity to work independently and manage multiple tasks effectively.

Compensation: $20–$25 per hour, commensurate with experience.
