Benefits Operations and Systems Specialist

We are seeking a detail‑oriented, tech‑savvy Benefits Operations & Systems Specialist to support the behind‑the‑scenes accuracy and efficiency of our group benefits administration. This role is ideal for someone who enjoys working in benefit administration platforms, problem‑solving with data, and ensuring clean, compliant, well‑built systems for clients.

You’ll work primarily in Employee Navigator and other benefit admin platforms, coordinate with payroll companies, process employee enrollments and group‑wide changes, and prepare census data used for proposals, renewals, and carrier submissions. This position is essential to keeping our clients’ benefits processes accurate, timely, and smooth.

Once proficient, this position becomes primarily remote, with occasional in‑office or client‑related touchpoints.

Key Responsibilities: Employee Navigator (EN) Platform Work

  • Build and maintain Employee Navigator portals, including plan setup, eligibility rules, rates, and group‑specific configurations.
  • Perform data validation, audit discrepancies, and support EN integrations (e.g., payroll, carrier, or API connections).
  • Troubleshoot EN issues with carriers, vendors, or payroll partners as needed.

Payroll & Vendor Coordination

  • Communicate directly with payroll companies to ensure benefit/ payroll data aligns and is transferred accurately.
  • Help resolve demographic, deduction, or eligibility mismatches between systems.
  • Support integration requests, data mapping, and file coordination.

Change Processing & Group Updates

  • Process employee‑level changes (new hires, terminations, life events, COBRA‑related updates, etc.) across EN and applicable carrier portals.
  • Assist with employer‑wide updates, such as plan changes, renewals, rate changes, and communication rollouts.
  • Ensure accuracy and documentation of all enrollment activities.

Census & Proposal Preparation

  • Gather, clean, and structure census data for quoting, marketing, renewals, and underwriting.
  • Prepare proposal inputs for carriers, GA partners, or internal team members.
  • Verify census accuracy, including DOBs, zips, dependent status, elections, and participation.

Quality Control & Documentation

  • Support auditing of enrollments, deductions, and carrier invoices as needed.
  • Maintain organized, accurate records and follow internal SOPs.
  • Identify process improvements and help strengthen data quality and workflow reliability.

Qualifications

  • Experience with Employee Navigator or similar benefits administration platforms strongly preferred.
  • Strong attention to detail and comfort working with data.
  • Experience coordinating with payroll companies and human resources is a major plus.
  • Ability to manage multiple tasks independently and meet deadlines.
  • Excellent communication skills (written and verbal).
  • Insurance agency or HR/benefits background helpful

Pay: From $40,000.00 per year
