Bi-Lingual Operations & Data Specialist
Reports to: Owner / Operations Manager Position Type: Part-time or full-time
Job Summary: We are seeking a detail-oriented Operations & Data Specialist to serve as the administrative backbone of our production and business operations. This role is responsible for multiple critical areas: 1) Supporting the production team with accurate data collection, tracking and reporting. 2) Keeping the company up-to-date and compliant with timelines and actions associated with business compliance with various government, insurance and internal policies. 3). Assisting with driver, truck and trailer administrative compliance and record keeping.
Key Responsibilities:
1. Production Support & Data Analysis
- Data Tracking: Collect daily/weekly production data (e.g., pallet counts, scrap rates, saw piece rate, labor and productivity) and enter it into our tracking system.
- Reporting: Create weekly "Scorecard" reports for management showing production efficiency, labor efficiency, and safety metrics.
- Inventory Admin: Assist with tracking inventory levels of lumber, fasteners, and other critical supplies.
- Collaboration: Work closely with production managers to identify and establish data drivin targets and improvement plans.
2. Fleet Administration (Trucks & Trailers)
- DOT Compliance (working with third party): Maintain Driver Qualification Files (DQF), track Hours of Service (HOS) logs, and ensure all drivers have current medical cards and CDLs.
- Asset Management: Manage registration, licensing, tabs, and insurance for the entire fleet of trucks and trailers.
- Maintenance Tracking: Schedule and track preventative maintenance (PM) to ensure vehicles remain roadworthy; maintain digital files of all repair invoices and inspections.
3. Environmental, Health & Safety (EHS) Compliance
- Regulatory Reporting: Manage all filings and correspondence with the Minnesota Pollution Control Agency (MPCA), including Industrial Stormwater permits (NPDES/SDS) and "No Exposure" certifications.
- OSHA Compliance: Maintain safety records, coordinate employee safety training, and ensure the facility meets OSHA standards.
- Inspections: Conduct monthly site walks to identify potential environmental or safety hazards (e.g., proper storage of pallets, dumpsters, and fluids) before they become violations.
Qualifications & Skills:
- Language: Bilingual in Spanish and English
- Experience: 2+ years in an administrative role within logistics, manufacturing, or construction.
- Proficiency in Microsoft Office 365; Excel, Word, Outlook.
- Understanding and knowledge of common ai tools and how to apply to everyday tasks.
- Technical Skills: Strong proficiency in Microsoft Excel (pivot tables, formulas) for data reporting.
- Organization: Ability to track multiple deadlines (permit renewals, tag expirations, reporting due dates) without letting anything fall through the cracks.
Pay: $24.83 - $29.91 per hour
Expected hours: 30.0 – 40.0 per week
