We are seeking a dynamic and detail-oriented Bilingual Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for clients, visitors, and team members, providing exceptional support across various administrative functions. Your bilingual skills will enable seamless communication in both English and Spanish. This role is essential for ensuring smooth day to day operations of our office and will involve a variety of tasks that require excellent time management and communication skills. This position offers an exciting opportunity to enhance customer service experiences, and support daily operations with energy and enthusiasm.
Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with a friendly and professional demeanor
- Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Perform data entry, maintain accurate filing systems, and update records using Microsoft Office, and other office software
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
- Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to track expenses and invoices
- Handle clerical duties including proofreading documents, preparing reports, and managing correspondence
- Provide excellent customer support by addressing inquiries via phone or email and ensuring client satisfaction
- Maintain organization of office supplies, manage incoming mail, and ensure the office environment remains efficient and welcoming.
- Support team members with administrative needs, including project coordination
- Maintain confidentiality of sensitive information while adhering to company policies
Qualifications
- Bilingual proficiency in English and Spanish , with excellent verbal and written communication skills in both languages (required)
- Proven experience in an office environment with strong clerical and administrative skills
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer literacy overall
- Experience with multi-line phone systems, data entry, filing systems, and calendar management
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Excellent phone etiquette combined with outstanding customer service skills
- Previous experience as a receptionist or personal assistant is desirable
