We are seeking a dynamic and highly organized Bilingual Administrative Assistant to join our team full-time at our vibrant Miami office. Duties
- Serve as the first point of contact at the front desk, greeting visitors and directing calls with professionalism and courtesy using multi-line phone systems.
- Manage incoming correspondence, emails, and inquiries in both English and Spanish, ensuring timely responses and follow-up.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office—to ensure quick retrieval of documents.
- Perform data entry and bookkeeping tasks utilizing QuickBooks to support financial record-keeping and invoicing processes.
- Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently.
- Support office management activities including supply inventory, order placement, and maintaining a clean, welcoming workspace.
- Handle clerical duties such as proofreading documents, preparing reports, and managing mail distribution with accuracy and attention to detail.
- Provide excellent customer support by addressing client needs promptly while demonstrating strong phone etiquette and professionalism.
- Support personal assistant tasks as needed, including travel arrangements or special project coordination.
Qualifications
- Fluent in both English and Spanish with exceptional verbal and written communication skills in both languages.
- Proven experience in office administration or clerical roles with a strong understanding of office management practices.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with data entry tools.
- Experience using QuickBooks for bookkeeping or financial tasks is highly desirable.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Excellent phone etiquette with experience managing multi-line phone systems confidently.
- Demonstrated computer literacy with quick typing skills and attention to detail for proofreading documents.
- Prior experience supporting customer service functions or providing administrative assistance preferred.
- Knowledge of filing systems, calendar management, time management techniques, and office supply procedures is essential.
