Bilingual Front Desk / Law File Clerk

Overview
We are seeking a professional and organized Bilingual Receptionist/File Clerk to join our law firm. This role is vital in ensuring smooth daily operations by managing front desk responsibilities, maintaining accurate filing systems, and providing exceptional customer support. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office software. Bilingual skills and experience with office management systems are highly valued. Duties

  • Greet visitors and clients in a courteous and professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar appointments using Google Workspace tools
  • Perform data entry and maintain accurate filing systems both electronically and physically
  • Handle incoming and outgoing mail, packages, and correspondence
  • Assist with basic bookkeeping tasks using QuickBooks or similar software
  • Support office management activities including supply inventory and document organization
  • Maintain a clean and organized reception area to promote a welcoming environment
  • Offer exceptional customer service by addressing inquiries promptly and professionally

Skills

  • Proven experience in office management, clerical work, or administrative roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Familiarity with QuickBooks, bookkeeping, or medical/dental receptionist experience is a plus
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities to communicate effectively with diverse clients are preferred
  • Exceptional organizational skills with attention to detail for proofreading and filing tasks
  • Ability to handle multiple priorities efficiently through effective time management
  • Strong customer service skills with a friendly demeanor and professional appearance
  • Experience in office experience or personal assistant roles is advantageous
  • Knowledge of calendar management, appointment scheduling, and general office procedures

Pay: $16.00 - $18.00 per hour
