  • Greet visitors warmly and assist with check-in procedures, ensuring a friendly and professional atmosphere
  • Manage multi-line phone systems efficiently, directing calls accurately and providing exceptional customer support
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Maintain office organization through filing, data entry, proofreading, and managing documents using Microsoft Office and Google Workspace tools
  • Support administrative tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks
  • Perform clerical duties including typing reports, maintaining records, and supporting office management functions
  • Ensure phone etiquette standards are upheld at all times, providing clear communication and courteous assistance to all callers

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
  • Proven customer service experience with excellent communication skills in both languages (bilingual proficiency required)
  • Familiarity with front desk operations, multi-line phone systems, data entry, filing, and general clerical tasks
  • Competence in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and basic bookkeeping software like QuickBooks
  • Ability to manage time effectively while handling multiple responsibilities in a fast-paced environment
  • Experience with calendar management, phone etiquette, proofreading documents, and providing customer support is highly desirable
  • Personal assistant or office management experience that showcases organizational prowess and attention to detail
