About the Role
The Billing & AR Assistant is a key member of the accounting team, responsible for ensuring the accurate and timely processing of customer invoices and the collection of outstanding payments. This role requires a detail-oriented professional who can manage complex construction billing requirements while maintaining professional relationships with both internal project managers and external clients.
Key Responsibilities
- Billing & Invoicing: Prepare and distribute accurate monthly billings, including progress billings.
- Payment Processing: Post daily cash receipts, including checks, ACH, and wire transfers, ensuring all payments are applied to the correct accounts.
- Collections Management: Monitor aging reports and conduct proactive outreach to customers regarding past-due balances.
- Lien Waivers: Prepare, track, and manage partial and final lien waivers for subcontractors and owners as required by contract.
- Account Reconciliation: Research and resolve any billing discrepancies or payment shortfalls by collaborating with Project Managers and the Accounting Team Leads.
Required Qualifications
- Experience: 1+ years of experience in Accounts Receivable or General Accounting, preferably within the construction or trades industry.
- Technical Skills: Proficiency in Microsoft Excel and experience with construction management software. Familiarity with AS400 a plus!
- Communication: Strong interpersonal skills with the ability to navigate difficult collection conversations with "The P&J Way" (professionalism and integrity).
- Education: Associate’s degree in Accounting, Business, or a related field; or equivalent professional experience.
Preferred Skills
- Precision: High level of accuracy in data entry and financial reporting.
- Problem Solving: Ability to untangle complex billing issues across multi-phase projects.
- Organization: Excellence in managing deadlines, especially during high-volume month-end closing periods.
Compensation & Benefits
- Salary range: $20 - $23 / hour
