Summary/ObjectiveIn Coordination with the Director of Fiscal Operations the Accounts Receivable and Registration Specialist will be responsible for all accounts receivable and programming registration for each branch of the YMCA and partner YMCAs. Provides excellent customer service to our members and program participants.

Essential Functions

  • Provides excellent service to members, guests, and program participants in the branch and on the phone, contributing to member and participant retention.
  • Handles and resolves membership and participants concerns and informs supervisor of unusual situations or unresolved issues.
  • Models relationship building skills (listen first) in all interactions.
  • Assist with insurance reimbursement programs including processing and keeping membership staff up to date on insurance standards.
  • Reviews and follows up on returned checks and bank drafts, and credit card expirations.
  • Reconciles branch weekly deposits of cash and checks.
  • Coordinates membership invoice mailings.
  • Assist with creating monthly reports.
  • Reconciled and validated revenue streams, ensuring accuracy and alignment with financial records while identifying and resolving discrepancies to support reliable reporting and forecasting.
  • Help new employees with training on Daxko software and applicable procedures.
  • Create and organize new and existing programs in Daxko along with updating programs per request.
  • Provides support on programming related inquiries throughout the Association.
  • Assist with childcare registrations including the childcare assistance programs for our association and partner YMCAs in collaboration with the Director of Fiscal Operations.
  • Communicate with program directors to establish timelines and to review programs for accuracy.
  • Audit program costs, instructors, dates and times while taking note of instructor turnover holidays to prorate.

Work Environment

The Accounts Receivable and Registration Specialist will work in an office environment. The employee will be traveling to different YMCA sites on a weekly basis.

Position Type/Expected Hours of Work Travel

This is a full-time position. Expected hours will be 8:00 a.m. to 5:00 p.m. Some travel will be necessary for this position.

Preferred Education and Experience

  • Associate's or bachelor’s degree in accounting or related field or equivalent required.
  • A year or more accounts receivable or general accounting experience required.
  • Understanding of basic accounting concepts and applications including cash reconciliation, accounts receivable, and general bookkeeping procedures.
  • Experience with standard business software, office machines, and must be proficient in Microsoft Excel.

Additional Eligibility Qualifications

  • Must be able to successfully pass a background check.

Supervisory Responsibility

This position does not have supervisory responsibilities.
