Billing Coordinator

Job Overview
We are seeking a dynamic and detail-oriented Billing Coordinator to join our financial team. In this role, you will perform accurate billing functions to help minimize accounts receivable issues and enhance timely collections. To include, but not limited to, completing the entire billing process, submitting invoices to client’s accounting systems or specified accounting portal, providing financial management reports, and any other related financial/administrative activities as needed.

Duties (but not limited to)

  • Responsible for ensuring accurate and timely billing for multiple clients and projects.
  • Enter billing information into client’s accounting system, or preferred portals, as requested by client.
  • File and organize billing documents for easy retrieval and/or audit purposes
  • Collaborate with accounting department and any other staff as needed to resolve billing discrepancies
  • Complete month-end closing activities related to billing
  • Reconcile billing accounts to ensure accuracy, timeliness, and completeness
  • Prepare accurate and timely periodic financial reports as needed for management review
  • Assist auditors, gathering and providing information and documents needed for inquiries.
  • Provide support and guidance to accounting department
  • Interact with Project Manager(s) to ensure accurate and timely billing.
  • Assist with administrative duties as needed.

Skills

  • Associate degree in Business, Accounting, Finance, or related field with a minimum of five (5) or more years of direct accounting or other relevant years of experience.
  • Minimum of five (5) years’ experience of invoicing to Property Management Companies and General Contractors, as the subcontractor.
  • General understanding of accounting principles and practices.
  • Computer use and knowledge. Proficient in Microsoft Suite of products.
  • Experience with Sage software with specific concentration in billing.
  • Post to client portals, such as Ops Merchant, AvidXchange, Paymode-X, Nexus, or other similar types of portals.
  • Ability to manage multiple tasks and meet deadlines with attention to detail.
  • Excellent interpersonal, oral, and written skills with demonstrated ability to work as a part of a team to build internal and external relationships.
  • Strong analytical skills and the ability to use sound judgement.
  • Ability to work within a team atmosphere.
  • Must have an all-hands-on-deck attitude and willingness to pitch in when and where needed.
  • Must be able to sit for prolonged periods at a desk and work on a computer. Must be able to lift up to 15 pounds occasionally.
  • This is a full time in the office position (there is no hybrid work).
