1. Billing & Invoicing
- Prepare invoices for new vehicle sales, service jobs, spare parts, and accessories through the DMS system.
- Ensure the correct application of taxes, discounts, schemes, and offers as per OEM guidelines.
- Verify customer details, vehicle details, chassis & engine numbers before generating invoices.
- Reconcile billing data with daily sales reports.
2. DMS Operations
- Handle all billing entries and updates in DMS (Autosoft, Autoline, Tally-integrated DMS, or OEM-specific system).
- Maintain records of bookings, delivery orders, credit notes, and payment receipts.
- Update stock-out entries whenever a vehicle or part is billed.
- Ensure proper closure of service job cards in the DMS.
3. Documentation & Record Management
- Maintain billing files, supporting documents, and audit-ready records.
- Coordinate with the Sales/Service team to confirm required documents (ID proofs, customer declarations, finance documents).
- Ensure the accuracy of insurance, warranty, accessories, and RTO billing documents.
4. Coordination
- Liaise with the Accounts team for payment confirmation, mode of payment, and reconciliation.
- Coordinate with the Sales team for delivery readiness and final invoice approval.
- Work with the Service & Spare Parts teams to ensure timely job card billing and closure.
- Support the RTO/Finance team with required billing documents.
5. Compliance & Reporting
- Ensure billing accuracy as per dealership policies and OEM audit standards.
- Prepare daily, weekly, and monthly billing reports.
- Support internal and external audits with necessary documents.
- Report any discrepancies or errors immediately to the Billing/Accounts Manager.
Qualifications & SkillsEducation
- Graduate in B.Com, BBA, or any related field.
- Diploma in Accounting/Automobile Administration is an added advantage.
Experience
- 2–4 years of experience in billing (automobile dealership preferred).
- Experience working in DMS systems (Autosoft, Autoline, CDK, Tally-integrated DMS, etc.) is an added advantage.
Skills
- Good knowledge of GST, billing processes, and basic accounting.
- Familiarity with DMS operations and invoice generation.
- Strong attention to detail and accuracy.
- Good communication and coordination skills.
- Ability to work under pressure and meet timelines.
