Summary of Responsibility:

The Billing Specialist will be responsible for supporting accurate and efficient billing operations by ensuring invoices are processed, distributed, and maintained in accordance with customer requirements and company standards. This role works closely with internal teams and external customers to resolve billing issues, maintain invoice accuracy, and support ongoing process improvements, while adhering to established policies, procedures, and ethical business practices.

What You Will Contribute:

  • Receive and review vendor invoices within the system and submit them to Accounts Payable for timely payment processing.

  • Verify that orders align with customer purchase orders and accurately process customer invoices in the system.

  • Distribute invoices to customers through approved channels, including email and mail, ensuring timely delivery and proper documentation.

  • Manage and maintain customer billing portals, ensuring invoices are uploaded accurately and in accordance with customer requirements.

  • Collaborate closely with coordinators and internal teams to support a detailed, accurate, and efficient billing process.

  • Respond promptly and professionally to customer inquiries and requests related to invoices, billing status, and discrepancies.

  • Assist with special projects and initiatives related to the billing team, including ERP implementations and process improvement efforts.

  • Perform general organizational and administrative tasks as needed to support daily operations.

  • Adhere to all company policies, procedures, and business ethics standards.

Qualifications & Proficiencies:
  • Strong customer service and client relationship building skills.

  • Confident in Microsoft Suite programs.

  • Strong organizational skills are a must.

  • Excellent analytical skills and ability to meet processing deadlines.

  • Ability to work both independently as well as part of a successful team.

  • Available for 40 hours, Monday through Friday 8am-5pm.
