About the Role
This is not your typical bookkeeping position. We’re seeking a problem solver with strong accounting and administrative skills who thrives under pressure. You’ll support our internal accounting operations with a focus on project-based financials, handling high-volume AP/AR, assisting with reporting, and contributing to internal compliance and operations.
Key Responsibilities Accounting & Financial Duties
- Collaborate with the internal bookkeeper to verify and enter all financial transactions into QuickBooks
- Prepare financial statements, including P&L, Balance Sheet, and Cash Flow reports
- Manage full-cycle accounts payable: invoice entry, coding, and vendor correspondence
- Assist with month-end close and trial balances
- Reconcile credit card transactions and monthly statements
- Track project budgets and variances; create Excel-based financial reports
- Assist with 1099s, tax filings, and compliance documentation
- Support construction project cost reporting and client billing
- Process payroll as needed through Paychex
- Ensure compliance with accounting standards and internal controls
- Perform monthly account reconciliations
- Request and manage Certificates of Insurance (COIs)
- Ensure timely filing of 940, 941, and other required tax documents
- Coordinate with external CPA for annual and quarterly filings
Administrative & Operational Support
- Maintain digital records for insurance, compliance, and fleet documentation
- Organize and upload vendor bills and project files
- Assist with office coordination and interdepartmental logistics
- Support employee onboarding and internal systems documentation
- Provide general administrative support across departments
Qualifications
- 3+ years of experience in high-volume bookkeeping using QuickBooks
- Advanced Excel skills (pivot tables, formulas, formatting, etc.)
- Strong understanding of job costing, reconciliation, and construction accounting
- Excellent organizational and multitasking abilities
- Strong communication skills, both written and verbal
- Able to work independently while collaborating effectively with a small team
- Experience in construction or project-based accounting highly preferred
