Job Title: Bookkeeper

Department: Administration
Reports To: General Manager
FLSA Status: Non-Exempt

Position Summary

The Bookkeeper is responsible for supporting the financial operations of the club by maintaining accurate accounting records, assisting with internal controls, and ensuring timely and accurate reporting. This role plays an important part in the overall financial integrity of the club and works collaboratively with management and department heads.

Core Responsibilities

1. Financial Stewardship & Internal Controls

  • Maintain the general ledger in accordance with established accounting standards
  • Follow internal control procedures for cash handling, disbursements, and reconciliations
  • Support proper segregation of duties to help safeguard club assets
  • Assist in maintaining financial policies and procedures

2. Daily Club Accounting Operations

  • Post daily revenue from all departments (golf operations, food & beverage, events, etc.)
  • Reconcile point-of-sale (POS) systems to daily deposits
  • Verify accuracy of cash reports and assist in resolving discrepancies

3. Accounts Payable (AP)

  • Process invoices with proper coding and required approvals
  • Maintain vendor records, including W-9s and contract files
  • Prepare weekly check runs or electronic payments
  • Ensure expenses align with approved budgets and purchasing guidelines

4. Accounts Receivable (AR) & Member Billing

  • Assist in the preparation and distribution of monthly member statements
  • Post dues, fees, and member charges accurately
  • Monitor receivables and aging reports
  • Coordinate with department heads to help resolve billing discrepancies
  • Collections

5. Bank & Account Reconciliation

  • Perform monthly bank and balance sheet account reconciliations
  • Reconcile credit cards, merchant services, and POS clearing accounts
  • Identify and report variances as needed

6. Payroll & Compliance Support

  • Assist with payroll processing and accuracy review (if applicable)
  • Maintain payroll records in compliance with federal and state regulations
  • Support payroll-related reporting and filings

7. Financial Reporting & Audit Support

  • Prepare monthly financial schedules and supporting documentation
  • Assist in preparing accurate and timely financial statements
  • Provide documentation for external audits and reviews
  • Support compliance with applicable IRS requirements for social clubs, including 501(c)(7) considerations

8. Club Governance & Communication

  • Support established club governance structure, recognizing:
  • The Board provides overall direction and policy
  • Management oversees daily operations
  • Communicate financial information through appropriate management channels
  • Maintain professionalism and confidentiality in all interactions with members, staff, and leadership

9. Records Management & Administrative Support

  • Maintain organized and audit-ready financial records
  • Retain documentation in accordance with record retention policies
  • Support special projects, budgeting, and financial analysis as needed

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
  • 2–5 years of bookkeeping or accounting experience (private club or hospitality preferred)
  • Experience with club accounting systems (e.g., Jonas, Clubessential, Northstar) a plus
  • Strong proficiency in Microsoft Excel
  • Working knowledge of GAAP and internal controls

Pay: $22.00 - $30.00 per hour
