Job Overview
We are a professional service organization that has been in business since 1999 and are currently looking for a reliable Bookkeeper/Accounting Assistant. As a motivated and detail-oriented team member, you will be an integral part of our team and will play a critical role in supporting the day-to-day financial operations of the company, with a primary focus on accounts payable, accounts receivable, billing, and general administrative support. Being good at math and a high degree of organizational ability are essential due to the great amount of financial information. This is an in-person position and requires working on-site.
Key Responsibilities:
- Process and manage accounts payable (AP), reviewing and maintaining Pos, verifying and entering invoices, and preparing payments
- Reviewing/renewing vendor contracts
- Manage accounts receivable (AR), including applying payments and following up on outstanding balances
- Process customer invoices and account statements in a timely and accurate manner
- Maintain accurate financial records and ensure proper documentation of all transactions
- Scan, organize, and file financial and administrative documents (both digital and physical)
- Assist with billing inquiries and provide customer support related to account activity
- Support general administrative tasks such as data entry, correspondence, and document management
- Collaborate with internal team members to ensure smooth financial operations and workflow efficiency
- Growth opportunity to perform routine account reconciliations and assist with month-end processes

Qualifications:
- High school diploma; further education is a plus
- 1-3 years of bookkeeping or accounting support experience, but willing to train the right person
- Basic understanding of accounting principles (AP/AR, debits/credits)
- Adherence to laws and confidentiality guidelines
- Proficient in MS Office (especially Excel); Working knowledge of QuickBooks and a willingness to learn CCH Axcess
- Excellent communication skills
- Strong attention to detail and organizational skills
- Ability to multitask and meet deadlines
- Willingness to learn and pivot tasks when needed
- Experience working with or integrating AI tools is preferred
- Openness to adopting AI solutions to streamline tasks and improve workflow efficiency
Position Details & Transition Plan:
Role is a blend of responsibilities from existing positions due to promotion and its overflow of responsibilities, and maternity leave (not returning).
Flexible start date based on candidate availability.
Flexibility in candidate’s preference for part time / full time.
Opportunity to begin in a part-time capacity during the summer, with training and onboarding alongside the current employee.
Role is designed to transition into a full-time position as responsibilities are gradually transferred.
This position supports a planned transition as the current employee prepares for maternity leave and will not be returning, allowing for a structured and collaborative knowledge transfer.
