Bookkeeper / Administrative Assistant

We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team! This Full time Bookkeeping position will be responsible for maintaining accurate financial records, invoicing, and managing all aspects of the company's payroll process. This role requires a high degree of confidentiality, accuracy, and expertise with QuickBooks Desktop Accounting Software.

Essential Job Functions:

  • Utilizing QuickBooks to perform accurate and timely data entry for all financial transactions as well as manage Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including invoicing clients, processing vendor bills, and ensuring timely payments.
  • Perform bank reconciliations monthly.
  • Process and record journal entries as needed.
  • Assist with month-end and year-end close procedures.
  • Maintain organized and accessible financial files and records
  • Collaborate with the Field Manager & Project Coordinator to make sure that all invoicing and field reports are reconciled & consistent
  • Process weekly payroll for approximately 20 employees
  • Ensure accurate calculation of wages, overtime, commissions, and deductions.
  • Process new hires, terminations, and changes in pay rates or employee information.
  • Manage and process employee benefits deductions (e.g., insurance premiums, 401k contributions).
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Prepare and file necessary payroll tax reports and year-end forms (W-2s, 1099s).

  • Prepare and process journal entries, accounts payable, accounts receivable, and expense reports in compliance with GAAP (Generally Accepted Accounting Principles).
  • Conduct account analysis, balance sheet reconciliation, and double-entry bookkeeping to maintain financial integrity.
  • Facilitate account reconciliation processes for various financial accounts and perform bank statement reviews regularly.
  • Assist with special projects related to financial concepts like budgeting or technical accounting as needed.
  • Minimum of 3 years of hands-on experience in bookkeeping and payroll administration.
  • Advanced proficiency in QuickBooks Desktop and/or Online or other accounting software
  • Demonstrated knowledge of payroll processes, procedures, and relevant tax compliance.
  • High level of proficiency with Microsoft Office Suite and Google office products
  • Strong organizational skills, attention to detail, and a commitment to accuracy.
  • Ability to handle confidential information with discretion and integrity.
  • Excellent written and verbal communication skills.
  • Experience in the Landscape design / construction industry.

Preferred Qualifications:

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
  • Knowledge of tax regulations related to non-profit or corporate entities is a plus.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining accuracy in data entry and recordkeeping.

Pay: $25.00 - $32.00 per hour
