Job Overview
We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team! This position is currently part-time Monday-Friday with 25-30 hours guaranteed/week. Some weeks may require more hours when we are event heavy.
Duties
- Manage day-to-day bookkeeping activities using QuickBooks: including data entry, journal entries, and account reconciliations
- Perform daily business: reconciling between POS/CRM system & QuickBooks
- Perform bank reconciliations and balance sheet reconciliations to ensure financial accuracy
- Handle accounts payable and accounts receivable processes with precision and timeliness
- Prepare financial reports, statements, and summaries in accordance with GAAP (Generally Accepted Accounting Principles) via QuickBooks
- Assist with payroll processing, tax filings, and governmental accounting requirements as needed
- Support budgeting efforts by maintaining accurate QB file and assisting the Board Treasurer with Finance Committee activities.
- Assist with audit preparations by organizing financial documents and ensuring compliance with accounting standards
- Perform administrative duties such as answering phones, CRM data entry, document management, 10 key typing tasks, and supporting office operations (Member inquiries, reservations etc).
Qualifications
- Proven experience with accounting software such as QuickBooks, Xero, Sage, or Quicken; familiarity with financial software is essential
- Strong understanding of corporate accounting principles including double entry bookkeeping, GAAP standards, and financial concepts - including debits & credits, journal entries, and general ledger accounting.
- Experience in non-profit or governmental accounting is a plus but not required
- Knowledge of account reconciliation processes including bank reconciliation and general ledger reconciliation
- Ability to perform detailed account analysis involving debits & credits and journal entries
- Excellent organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment
- Basic proficiency in 10 key typing for accurate data entry
- Strong communication skills to prepare clear financial reports and support team collaboration
- Prior payroll experience or tax knowledge is advantageous but not mandatory
