Bookkeeper / Administrative Assistant

Job Title: Bookkeeper / Property Management Coordinator
Location: New York, NY (Full-Time, In-Office)
Company: Real Estate Management Group

Overview

We are a disciplined, detail-driven real estate management group seeking a Bookkeeper / Property Management Coordinator to join our team full-time in-office in Manhattan.

This is not a passive or siloed role. You will be responsible for maintaining clean, accurate books while also supporting the day-to-day operations of a modern, professionally managed residential building.

The right candidate is organized, responsive, and takes ownership—someone who keeps things current without being chased and handles issues directly and professionally.

Key Responsibilities

Accounting & Financial Operations

  • Manage day-to-day bookkeeping using QuickBooks
  • Perform bank and credit card reconciliations (monthly, without backlog)
  • Maintain accurate general ledger (journal entries, debits/credits)
  • Process accounts payable (vendor invoices, approvals, payments)
  • Assist with payroll processing
  • Keep financial records clean, current, and audit-ready at all times

Property Operations & Coordination

  • Respond to tenant inquiries in a clear, professional, and timely manner
  • Coordinate with vendors (maintenance, utilities, inspections, etc.)
  • Track and follow up on operational items so nothing falls through the cracks
  • Support the day-to-day operations of a high-functioning residential property

Qualifications

  • Proficiency in QuickBooks (required)
  • Strong understanding of double-entry bookkeeping and core accounting principles
  • Experience with bank reconciliations and general ledger management
  • Prior experience in real estate or property management preferred
  • Highly organized with strong attention to detail
  • Professional, composed communicator (written and verbal)

What We’re Looking For

  • Someone who keeps clean books in real time—not weeks behind
  • A reliable operator who follows through without reminders
  • Comfortable working full-time in-office with consistent hours
  • Able to handle tenant and vendor communication without escalation
  • Takes pride in being accurate, responsive, and accountable

This role is not a fit for candidates who:

  • Need constant supervision or reminders
  • Prefer remote or hybrid work arrangements
  • Let tasks accumulate or fall behind
  • Are uncomfortable handling both numbers and people

Work Environment

  • Full-time, in-office role in Manhattan
  • Professional, no-drama environment focused on execution and accountability
  • Systems and processes are in place—this role is about maintaining and improving them, not reinventing them

Screening Questions (Required)

Please include brief answers with your application:

  • How many years of experience do you have using QuickBooks? Describe your level of proficiency.
  • Walk through your process for completing a monthly bank reconciliation.
  • Are you currently working full-time in-office? If not, are you comfortable doing so 5 days per week in Manhattan?
  • Describe a time when you had to stay on top of multiple financial or operational tasks without supervision. How did you manage it?
