Bookkeeper / Administrative Assistant

We are seeking a proactive and detail-oriented Bookkeeper / Administrative and Personal Assistant to join our small dynamic team. This vital role combines core bookkeeping responsibilities with administrative support, ensuring the smooth operation of financial processes and office functions. Responsibilities

  • Manage day-to-day bookkeeping tasks using accounting software such as QuickBooks
  • Perform bank reconciliations and general ledger reconciliation to ensure accuracy of financial data
  • Prepare and record journal entries, including debits & credits, for various accounts in accordance with GAAP (Generally Accepted Accounting Principles)
  • Handle accounts payable and accounts receivable processes, ensuring timely payments and collections
  • Assist with payroll processing and related tax filings to ensure compliance with governmental regulations
  • Conduct balance sheet reconciliation and account analysis to identify discrepancies and resolve issues promptly
  • Support budgeting activities by compiling financial data and preparing reports for management review
  • Filing monthly and quarterly taxes
  • Maintaining social media postings
  • Fulfill administrative and personal assistant tasks, running errands, ordering supplies, filling out applications, renewing permits and conversing with clients
  • Scheduling employees, contractors and vendors

Requirements

  • Proven experience with accounting software such as QuickBooks, Xero, Sage, or similar platforms
  • Strong understanding of corporate accounting principles, including double entry bookkeeping and financial concepts
  • Ability to perform account reconciliation, bank reconciliation, and general ledger accounting accurately
  • Excellent attention to detail with proficiency in 10 key typing and data entry skills
  • Knowledge of payroll processing, tax experience, and financial report writing is highly desirable
  • Effective communication skills combined with the ability to prioritize tasks in a fast-paced environment
  • Customer service and hospitality experience particularly in the marine and boating industry a plus
